ROLE: Accounts Payable Clerk

An Accounts Payable Clerk is defined at Paul Davis as being the person who handles all payables for the company. This position records, reconciles and processes all invoices and expenses for the company.

Nature and Scope
Performs a wide variety of functions and is delegated the authority to coordinate non-routine clerical activities.
- Receive, review direct and file incoming invoices, expenses, and payments.
- Arrange weekly cheque runs.
- Work with sub-contractors to resolve/investigate invoice queries.
- Act as a liaison between the company and external customers.
- Update all invoices in QB desktop and RMS.
- Communicate with subcontractors about payments.
- Review all subcontractors' statements on monthly basis.
- Maintain all approved invoices from designated departments.
- Reconcile accounts on a monthly basis.
- Review Credit Card payments and obtain the requisite approvals.
- Maintain and synchronize data between QuickBooks desktop and RMS.
- Reconcile accounts and assisting with bookkeeping – A/P, A/R, GL, Payroll, Reports.
- Maintaining filing system.
- Assist with the preparation of financial reports.
- Must be (become) knowledgeable of multiple procedures and program requirements to respond to inquiries, explain department services, policies, procedures, and rationale for decisions to customers.
- Maintain mailing list.
- Complete the monthly sales reports.
- Additional reasonable duties as assigned.
Skills and Knowledge
Good knowledge of office support functions including word processing, filing, composing a variety of business documents, gathering and compiling data, and balancing and coordinating a workload for multiple projects.
- Must be able to handle pressure, have a good work ethic and have initiative.
- Positive friendly attitude.
- Great people skills.
- Motivated and a creative thinker.
- Good Organizational skills.
- Bilingualism would be considered an asset.
Specialty Areas
- Must have QuickBooks knowledge and experience
- Good knowledge of construction terminology and procedures – asset, but not required
- Sound knowledge of Quick Book Desktop.
- Knowledge and experience with RMS.
- Ability to keyboard/type at the rate of 40 words per minute.
- Bookkeeping (accounting) knowledge and experience
- Experience using spreadsheet software; intermediate word processing skills.
- Experience using data base software.
- Experience handling phones
- Balancing multiple tasks
