Empire Entertainment & Audio Visual Inc. is a full-service provider for social, corporate, and public events. Our services include: in-house & mobile audio-visual setup and operation, including audio, lighting and visual. Our entertainment services include: Professional DJ & MC services, Live musicians, etc.
We are presently recruiting for the role of an Accounting/Office Administrator on a full-time basis.
Key Responsibilities
Accounting Administration:
- Manage accounts payable and receivable, ensuring accurate and timely processing of invoices and payments.
- Process biweekly payroll
- Ensure compliance with financial regulations and company policies.
- Maintain accurate and up-to-date records for office operations, including contracts, employee files, and financial documents.
Office Management:
- Oversee day-to-day office operations, ensuring the office runs efficiently.
- Manage office communication, including phone calls, emails, and correspondence.
- Assist sales team with client relation procedures (ie. requesting payments, ensuring itineraries are received in a timely manner and sharing with the team)
- Corresponding with clients and vendors to organize all pertinent information for event execution
- Assist in coordinating meetings, events, and staff schedules.
- Implement and maintain office policies and procedures.
- Maintain office supplies inventory, order supplies as needed, and manage vendor relationships.
- Handle confidential information with professionalism and discretion.
- Prepare and edit documents, presentations, and reports for various departments.
- Establish and maintain an organized filing system for physical and digital documents, ensuring easy access and retrieval.
- Ensures the office complies with health and safety regulations, including maintaining first aid supplies and coordinating emergency procedures.
- Handle any customer or client inquiries or complaints, escalating to appropriate personnel when necessary.
- Ensure all office technology (computers, printers, software), phone systems and internet services is up-to-date and functioning properly.
- Ensure compliance with all relevant laws and regulations, including labour laws and data protection requirements.
Qualifications:
- Bachelor’s degree in Accounting, Business Administration, or related field.
- Proven experience (3+ years) as an Accounting Manager, Office Manager, or similar role.
- Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (especially Excel).
- Familiar with ADP
- Strong organizational and multitasking abilities.
- Excellent communication skills, both verbal and written.
- Ability to manage sensitive information with a high level of confidentiality.
- Adobe software experience an asset.
- Own vehicle an asset
