General Description: Maintain billing system including timely collection and deposit of rents and other amounts owing, generate billings, reconcile accounts including annual TMI reconciliations, maintain files, produce monthly reports and liaise with management generally.
Toronto based private property management company with commercial, residential and condominium clients is looking for someone with good organizational skills who can deal with tenants effectively, has a keen eye for detail and who can communicate effectively both within and outside of the company.
Position Requirements:
(a) Education: Post-secondary education in a related area
(b) Experience: Minimum of two years
(c) Experience cont’d: Previous Property Management administrative function would be an asset.
(d) Communication: Proficient in English (both speaking and writing)
(e) Skills: Exceptional time management, organization skills and problem solving. Detail orientated.
(f) Interpersonal: Excellent phone and customer service skills
(g) Relationship building: Must be able to establish strong relationships with owners, vendors, coworkers etc
(h) Computer: Must be proficient with demonstrated expertise using email, word and excel programs

Duties and Responsibilities:
Accounts Receivable
·Responsible for timely collection of rent and other monthly fees
· Responsible for processing cheques/EFTS and for making bank deposits
·Perform accounts receivable reconciliations
· Prepare and issue rent increase notices and other LTB forms as and when necessary.
·Participate in month end and year end close processes
·Participate in the preparation of internal financial statements
·Process monthly general ledger journal entries or adjustments
·Maintain communication with Property Managers regarding delinquent tenant/Condo Owner payments
·Perform other ad hoc accounting and administrative duties as assigned
Tenant Relations
·Develop standardized communication tools to tenants as directed for Maintenance, Rules & Regulations, Policies and suite access
·Tabulate tenant rent rolls and process monthly rent payments
·Prepare notices to tenants for specific properties based on needs or emergencies
·Manage all tenant files including rental agreements, notices, insurance and all other related correspondence
·Support property managers will tenant move in/move out process
Knowledge/Skills:
· Knowledgeable user in Yardi or Spectra
· Meticulous attention to detail
· Adequate knowledge base of information technology
· Proficiency in using MS Office with intermediate to advanced Excel skills
· Ability to work well under pressure and meet set deadlines
· Strong interpersonal and communications skills
· Focus on excellent client service (both internal and external)
· Advanced organizational, time management and administrative skills

Pay: $45,000.00-$52,000.00 per year
