The Executive Assistant position is responsible for providing administrative support to 2-3 Directors within the Sector Support, Performance & Accountability portfolio, whose primary responsibility will be meeting coordination and scheduling meetings with both internal and external stakeholders, including large working groups and committees held both virtually and in-person that may include executive level leadership stakeholders. The incumbent requires a keen sense of tact, diplomacy, and customer service.
Here is what you will be doing:
- Provide scheduling and administrative support to 2-3 Directors; coordinates and maintains electronic calendar/schedule for leadership by anticipating and leveraging requirements, priorities and needs and provides necessary appointment logistics, pertinent information, and contact requirements.
- Prioritizes conflicting needs; handles matters expeditiously, proactively often with deadline pressures;
- Performs activities to facilitate and coordinate streamlining of workload and processes; initiates process improvement and other activities to ensure the efficient operation of the department.
- Act as the first point of contact for internal and external calls and inquiries; triaging and tracking requests as required.
- Develop, organize and maintain electronic and paper information filing/retrieval methods, systems and formats, and maintain documents and databases, as required.

Here is what you will need to be successful:
Education and Experience
- An undergraduate degree in an appropriate discipline (e.g., Health Sciences, Health Services Research, Health Administration, Business Administration, etc.) or equivalent combination of education and experience
- A minimum of 3-5 years’ experience in related field; experience providing senior level coordination support in a health-related organization is preferred
Knowledge and Skills
- Excellent verbal and written communication skills
- Extensive experience in a Microsoft Office environment is required
- Superior organizational and time management skills
- Demonstrated initiative and the ability to work independently and within a team environment
- Ability to manage multiple tasks and provide assistance to multiple individuals in the presence of frequent interruptions
- Excellent interpersonal and customer service skills
- Strong problem-solving skills
- Ability to use discretion in dealing with sensitive issues and maintaining appropriate levels of confidentiality
- Excellent understanding of privacy and confidentiality
