Altered Minds Inc. is looking for
FINANCIAL ADMINISTRATOR
(30 hours/week, term to March 2025 with a possibility of extension)
General Duties:
- Prepare annual budget in cooperation with the Executive Director
- Maintain financial records and prepare required financial documentation for funders and for the annual audit
- Analyze and forecast financial requirements for the organization
- Monitor all financial activities, including grants and contracts; ensure all expenses are within assigned project budget.
- Monitor and implement all accounts payable, check activation and wire deposits/transactions
- Conduct periodic financial analyses to identify and resolve issues, gaps or variances
- Establish and maintain sound bookkeeping and accounting procedures
- Prepare financial reports for the Board of Directors
- Prepare all regular accounting processes, such as Accounts Payable and Journal Entries
- Ensure that program funding is in bank account
- Ensure account receivable and payable activities are performed accurately and on time
- Ensure that financial transactions are properly updated and recorded
- Prepare and monitor account reconciliation process in cooperation with the Executive Director
- Provide support to auxiliary schedules for auditing purposes, as per assigned work
- Analyze general ledger accounts regularly
- Prepare the payroll, direct deposits, Interpreter payroll and paycheques
- Pay monthly invoices for services, including telephone/internet, photocopiers and other office equipment
- Maintain inventory of capital assets of the Organization
- Maintain staff forms for holidays, sick days and vacation
- Perform bank reconciliations, month-end adjustments and year end working papers
- Process group benefit and pension forms when employees enroll, change status or terminate
- Pay monthly remittances to CRA
- Prepare T4 and T4As for staff and Interpreters yearly
- Obtain and assess quotes and oversee office and program purchases
- Manage facilities, contacting the building manager to resolve issues as needed
- Respond to requests from the Executive Director and attend to other duties as needed
Education:
- Certified General Accountant, CPA or enrolled in a recognized accounting program leading to professional designation (CPA), or Business Administration Certificate/Degree
Experience:
- 3-5 years’ experience managing finances in a Canadian non-profit organization
- Experience working within Simply Accounting or a comparable accounting system
Knowledge, skills and abilities:
- Exceptional computer skills (Microsoft Office: Excel, Access, Word, Outlook)
- Able to explain financial accounting processes simply and clearly
- Well-organized, experienced with maintaining complete and accurate records
- Able to work independently and as part of a team
Wage: to be discussed
Term: till March 31, 2024 with a possibility of extension
