Indspire is seeking a Finance Officer- Accounts Receivable to review and ensure timely invoices, receipts, tracking, reconciliations and deposit of all accounts due to Indspire. They will conduct financial analyses and prepare global revenue charts. They will assist the Chief Financial Officer and act as backup for others on the Finance team including general accounting tasks as required.
Key Responsibilities
Accounts Receivable 50%
- Receiving, reviewing, verifying all cash, cheques, bank transmittals, etc.
- Matching original documents with invoices & documents such as contracts.
- Entering and balancing cash receipt data in Business Central Accounting System and preparing summary report of cash receipts.
- Maintaining files for all relevant documents.
- Ensuring that all deposits and relevant documentation are forwarded to Development on a timely basis.
- Working closely with Development reconciling data between Raisers Edge and Business Central Accounting System of all corporate and individual cash receipts
- Entering and balancing invoicing data in Business Central Accounting System.
- Recording and reconciling monthly PADS into Business Central Accounting System
- Receiving reviews and verifies all invoicing, donation pledges, summary bank deposits; communicating with the Development Department as needed.
- Maintaining knowledge of and acts as Finance and Administration’s Raisers Edge specialist.
- Monitoring outstanding invoices monthly and in collaboration with Departments as required, making follow-up calls and/or preparing emails or correspondence for collections.
- Preparing batch listing and posting journal summaries and printouts.
- Maintaining timely records of all NSF/ problematic cheques.
- Notifying all relevant departments of issues related to their accounts and working collaboratively with them to determine appropriate follow-up.
Financial Analysis & Reporting 40%
- Preparing summary reports of monies received, including donations, grants, bequests, government grants, etc.
- Preparing special projects as directed by the CFO
- Preparing monthly and/or quarterly and annual reports as required by the funders.
- Preparing specialized financial reports to funders to meet their established deadlines
- Assisting with the preparation of the annual program budgets and the quarterly and/or monthly reporting of actual results achieved to budget to the Finance and Executive Committees.
- Assisting with the preparation of audited financial statements and related working papers, including accounts analysis, and assisting auditors by gathering documents and responding to questions related to revenues.
- Assisting with the preparation of the Charitable Information Return (T3010).
- Preparing, and regularly updating the Global Revenue chart, Fundraising Goal chart, KPI Dashboard and other charts as required reconciling to accounts and in relation to Indspire’s year-end projections.
- Preparing the monthly bank reconciliation.
Finance Department Team Back-up 10%
- Performs duties as assigned during absences of others on the Finance team.
Qualifications
- Completion of Community College Business Diploma or specialized courses equivalent to two years, in addition to 4+ years related experience.
- Strong background in financial management
- Sound knowledge of current accounting practices in accordance with GAAP
- Advanced skills in MS Office Suite, especially with Excel spreadsheets, Word, and knowledge of Business Central accounting software
- Good knowledge of working with database software
- Excellent attention to detail
- Good customer service and interpersonal communication skills
- Ability to work under pressure to deadline
- Knowledge of the Indigenous community an asset.
- Demonstrated openness to learning and willingness to engage in cultural competency training.
