Administrative Assistant ReFresh Psychotherapy
We are seeking an outgoing, detail-oriented, efficient person to join our amazing Team in providing front desk support to our Psychotherapy practice. The ideal candidate will is detail oriented, highly organized, will be adept at prioritizing, multi-tasking and have a positive attitude. Experience using Canva is a bonus but not a requirement. This Candidate will also be willing to learn and grow with us!
Pay: $20/hr
Shifts will be Mondays 11am to 4pm, and either Tuesdays and Thursdays 12 to 5pm, or Wednesdays and Thursdays 12 to 5pm. Some flexibility on hours is possible. Role will be primarily in office, but some virtual hours are possible for a best fit candidate.

You will rock this role if you possess excellent communication skills and the ability to lead and promote the vision of the clinic. You must be able to stay extremely organized, thinking 10 steps ahead, and the ability to see the big picture with an entrepreneurial mindset. You have a passion for helping others as you will be communicating with our clients.
Qualifications
- 2-3 years of experience in Client Care and Customer Service (preferably in a medical office at the front desk), or some other experience with organizing and completing office oriented tasks.
- Psychology undergraduate students and graduates are welcome!
Responsibilities
- Supporting therapists with client bookings, payments, administrating intake & consent forms, organizing and updating office documents online, organizing research and the Google Drive, etc.
- Client support: opening the office, welcoming clients to the office, answering client calls and emails, processing payments at the end of sessions
- Maintaining Quality Assurance (follow up to payments, securing payment information, uploading secure documents, managing the booking software including schedules and treatments offered)
- Maintenance of office area, office supplies, and clinical files
- Assisting Clinical Director in other administrative duties and organization
- assistance with marketing and layout of flyers and other promotional materials

- Strong communication skills, ability to communicate professionally and with compassion to clients with patience when dealing with challenging clients
- Confidence to share ideas and constructive criticism to help us grow
- Juggling multiple projects and to-do’s simultaneously is no problem for you — you work well under pressure, meet deadlines and keep promises
- Tech savvy (we are mostly paper-less and everything is online)
- An appetite for innovation and simplicity who is highly process oriented
- Working autonomously comes easy to you but you also love collaborating with a talented team
- Considerable experience using the Microsoft Office Suite, Google Drive Suite, Gmail, Dropbox, Mac, Windows in a work environment
- Knowledge of Jane App scheduling software is an asset as well as Canva.
