Accounts Receivable/Accounts Payable Specialist
Brook McIlroy is seeking a detail-oriented and experienced Accounts Receivable and Accounts Payable Specialist to join our dynamic team. This role is crucial in working with project managers to prepare invoices in accordance with contracts, managing our accounts receivable and payable processes, ensuring accuracy of financial records, and maintaining strong relationships with our customers, vendors and consultants. The candidate will also provide support to our Principals and Office Manager as well as performing ad hoc functions as assigned.
The ideal candidate is a self-starter and problem solver with initiative to learn and grow, with a strong working knowledge of general accounting, preferably but not limited to the architecture & design industry. Curiosity about processes and how processes can be made more efficient is essential.
Key Responsibilities
· Set up projects in our accounting and project management software (Ajera), ensuring compliance with contract terms and revenue recognition policies, with support of Project Managers
· Accounts Receivable: Prepare and process monthly invoices to clients, record receipts and follow up/monitor collection of receivables
· Accounts Payable: process and manage accounts payable transactions, including verifying, coding and posting invoices related to project and office expenses
· Communicate with Project Managers and sub-consultants to resolve invoice discrepancies and payment issues.
· Maintain accurate and organized records and assist in reconciliations to the general ledger to ensure accurate and timely month-end and year-end closing
· Assist in preparing monthly HST remittances
· Provide general support to Principals and Office Manager (ordering supplies, coordinating team lunches/special events, liaise with property manager at new site)
Qualifications
· A minimum of two (2) years of accounting related experience, preferably in professional services
· Diploma or degree in Accounting or related field
· Proficiency in accounting software such as Ajera or similar ERP Systems (BQE Core, Unanet, etc.)
· Excellent organization and time management skills
· Ability to manage multiple tasks and deadlines efficiently
· Ability to problem solve and pay strong attention to detail
· Positive attitude, enthusiasm for learning and strong work ethic
Salary:
Salary will be commensurate with experience, designations, and qualifications (range $60k-$70k).

Our regular office hours are 9:00am to 5:30pm, with ½-hour unpaid for lunch, at our Spadina (Toronto) Studio location.
