Overview
We are seeking a highly organized and detail-oriented Executive Administrator to join our dynamic team. The ideal candidate will play a crucial role in supporting executive-level staff and ensuring the smooth operation of our office. This position requires exceptional clerical skills, strong customer service abilities, and proficiency in various office software applications. The Executive Administrator will be responsible for managing schedules, coordinating meetings, and maintaining efficient office systems.
Responsibilities
- Provide administrative support to executives, including managing calendars and scheduling appointments.
- Handle incoming calls with professionalism and maintain excellent phone etiquette.
- Organize and maintain files, both physical and digital, ensuring easy access to important documents.
- Prepare and process documents using DocuSign for electronic signatures.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
- Coordinate travel arrangements and itineraries for executives as needed.
- Serve as a point of contact for internal and external stakeholders, delivering outstanding customer service.
- Support office operations by ordering supplies and maintaining inventory levels.
- Collaborate with team members to improve office processes and enhance overall efficiency.
Requirements
- Proven experience in an administrative or clerical role, preferably in an executive support capacity.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent customer service skills with a focus on building positive relationships.
- Proficiency in office software applications such as Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with DocuSign for document management is preferred.
- Basic knowledge of QuickBooks or similar accounting software is a plus.
- Strong attention to detail and ability to maintain confidentiality.
- Effective communication skills, both written and verbal.
- Ability to work independently as well as part of a team in a fast-paced environment.
