We are looking for a Tech-Savvy Executive Assistant to become the founder's trusted right-hand person, helping the team stay on track with projects, deadlines, and client needs. You will play a crucial role in both administrative and financial aspects of the business, ensuring smooth day-to-day operations using current technology while exploring new tools and systems for greater efficiency.
This role will start part-time, with the opportunity to transition to full-time as comfort with tasks and workflows develops. Given that training someone takes time, we hope to find someone committed to a long-term partnership.
What You’ll Do:
- Serve as a trusted partner in daily operations, supporting executive tasks, project management, and client relations
- Manage bookkeeping and financial records, including QuickBooks, Excel, and tax preparation
- Assist in website and online course development, contributing to content, design, and user experience
- Identify and implement new technologies to improve workflow and streamline processes
- Handle administrative tasks, calendar management, and client communication
- Track deadlines, help keep the team on schedule, and manage client expectations
- Contribute to strategic discussions and decision-making as the business evolves
- Identify, test and introduce more advanced technology solutions for improved processes and automation
- Support project management and help with administrative tasks, ensuring everything runs smoothly and on time
What We’re Looking For:
- Someone who can physically be present in the office for at least six hours per week to greet clients and assist with various tasks, hours outside of this can be worked remotely. This role will involve direct interaction with in-person clients, contributing to a welcoming and professional office environment.
- Proficiency in professional-level English writing and English verbal communication skills is essential for this role, ensuring clear and effective interaction with clients and team members and the ability to catch and respond to various nuances that arise in language and speech.
- Proficiency in QuickBooks, Excel, and experience with tax preparation
- Strong attention to detail, with the ability to balance accuracy and efficiency
- A self-starter with excellent organizational and time-management skills
- A proactive problem solver who anticipates challenges and offers solutions
- Strong memory recall to tie through work done before and handle tasks without having to be shown multiple times
- A collaborative attitude, able to work seamlessly as a team with me, trusting each other and sharing ideas to overcome challenges
- Confidence in managing financial records, including tax preparation and filing, with minimal guidance
- Ability to grow with the role, starting part-time and transitioning to full-time as comfort with the tasks and comfort with processes and procedures grows.
