Job Title:Administrative Assistant and Bookkeeping, full time position
Administrative Support
· Oversee all reception functions and manage multiline phone system
· Process all incoming/outgoing mail; package and coordinate courier service, and trucking services as needed
· Maintain business machines (fax machines, printers, photocopiers); involves finding timely solutions for all issues
· Manage and maintain office stationery and supplies; including regular ordering and inventory tracking
· Ensure general upkeep of common areas, including meeting rooms, kitchen, supply rooms and grounds; coordinate with cleaning vendors to ensure they are completing duties accordingly
· Coordinate meetings as requested; involves arranging conference rooms and catering for internal and external meetings
· Manage and maintain boardroom calendar and distribute minutes as needed
· Manage and maintain all master contact lists to include emergency contacts for fire and safety compliance
· Manage vendor relations and accounts associated with the office
Accounting Support:
· Maintains subsidiary accounts by verifying, allocating, and posting transactions
· Responsible for entering accounts payable, accounts receivable and expenses into accounting systems; generate invoices as needed
· Balances subsidiary accounts by reconciling entries
· Maintain electronic filing system of historic records; update and maintain departmental trackers inclusive of inventory
· Assist with accounting projects as needed
· Comply with federal, provincial, and municipal legal requirements; enforce adherence to requirements; advising management on needed actions
Who You Are:
· You have 1 year plus experience in a data entry, reception or bookkeeping role where you proved yourself to be a valuable contributor to the team
· You are a whiz at Excel and the MS Office suite of programs - having experience with QuickBooks or another accounting software such as Navision is a plus
· You are accurate and efficient when it comes to data entry and you can work effectively under deadlines
· Your attention to detail is impeccable
· You are challenged by the goal of seeing a project through to completion
· You are self-motivated even during routine or repetitive tasks
· Your verbal and written communication abilities can’t be beat
· You easily and quickly become a part of a team, have a friendly personality and are driven by wanting to contribute to a Company’s success
