Bookkeeper / Admin Assistant (Part-Time) – Ref # KD08062401
The Career Foundation is currently seeking an Oriented Bookkeeper / Admin Assistant (Part-Time) on behalf of one of our employer partners.

- Job Type: Part-Time, Permanent
- Working Hours: Onsite in Etobicoke: 1 to 2 days per week (Mon/Tue due to invoicing and payroll needs)
- Salary: Starting at $23/hr
Job Summary:
The employer partner is looking for Bookkeeper / Admin Assistant (Part-Time). Please only apply to this position if you can work onsite in their office during these times and have a minimum 3+ years of QuickBooks experience using all functionalities. Since their company requires someone to be onsite, only those who can do so will be considered.
Responsibilities:
Accounts Payable
- 3yrs+ of QuickBooks (desktop) experience using all QuickBooks functions.
- Process received invoices
- Verify goods receipt against invoices and payment amounts
- Prepare payment to vendors
- Prepare HST / WSIB remittances
- Reconcile bank account on a monthly basis
- Manage all accounts payable functions.
Accounts Receivable
- 3yrs+ of QuickBooks (desktop) experience using all QuickBooks functions.
- Prepare customer invoices on a weekly basis and distribute via email
- Prepare customer account statements/reports on a weekly/monthly basis
- Communicate with customers via phone and email regarding accounts and overdue payments
- Manage all accounts receivable functions.
Additional Accounting Duties
- Reconciliation and preparation of monthly and yearly statements.
- Calculate and process bi-weekly payroll and stat holiday pay.
- Calculate and prepare company HST payments.
- Prepare monthly WSIB payment calculation and submit online.
- Manage bank account and credit card reconciliations.
- Maintain an orderly filing system.
- Review bank statement, prepare bank deposits and manage inter-company general ledger reconciliations and journal entries.
- Track specific weekly/monthly expenditures and data
- Assist in year-end audit preparations and external audits.
- Assist in month-end closing.
- Identify process improvements and system efficiencies.
- Project management / back-up.
- Maintaining accurate and current record of vehicle service/repairs.
- Other office/administrative duties as required including booking truck maintenance appointments.
Requirements:
- 3+ years minimum experience with QuickBooks Desktop (only candidates with QuickBooks software experience will be considered).
- 3+ years minimum experience in Canadian accounting practices.
- Formal accounting/business education is considered an asset.
- Excellent oral and written communication skills.
- Strong proficiency with Microsoft Office (Excel and Word).
- Tech savvy and ability to learn new software.
- Excellent planning and organizational skills.
- Attention to detail and a strong focus on follow through and follow up.
- Proven ability to work well in a team environment.
- Fluent English speaking, reading and writing skills and legible handwriting.
- Hardworking, enthusiastic, positive and flexible “can-do” attitude.
- Ability to set and achieve goals with limited supervision.
- A willingness to learn and continually expand your skill set.
- Excellent organizational, team work, communication and problem-solving skills.
- Strong ability to manage multiple priorities.
- Excellent customer service skills including a pleasant and upbeat telephone demeanor.
- Ability to keep business matters strictly confidential.
- Previous sales experience is an asset.
- College/University Education.
