Job Summary
The successful candidate will be responsible for welcoming patients, as he/she will be the first point of contact when patients enter the clinic. The successful candidate will be responsible for opening/closing the office, scheduling appointments for patients over the phone and in person, responding to questions, and assisting doctors as required with clerical tasks. The candidate will also be responsible for working with insurance companies for patients who have been involved in motor vehicle collisions. The successful candidate will work under minimal supervision.

JOB DUTIES:
- Opening the office in the morning/closing in the evening
- Maintaining a clean and friendly environment for the staff and patients
- Schedule and confirm medical appointments and receive and communicate messages for medical staff and patients
- Explaining clinic procedures to patients
- Assisting doctors as required, such as pulling patient charts, performing vitals on patients, assisting in the provision of therapeutic modalities
- Enter and format electronically based medical reports and correspondence and prepare spreadsheets and documents for review
- Interview patients to complete forms, documents and case histories
- Initiate and maintain confidential medical files and records
- Prepare financial statements and billing
- Assisting with processing claims to insurance companies
- Recording exams for doctors
- Order supplies and maintain inventory
- Determine and establish office procedures and routines
- Prepare draft agendas for meetings and take, transcribe and distribute minutes
Required Education, Skills and Qualifications
Education:
- Completion of secondary school is usually required.
- Completion of a one- or two-year college program or other specialized courses for secretaries or medical secretaries is usually required.
Experience:
Minimum:
- Experience with front desk/receptionist duties.
- Minimum experience of 1 year in this setting
- Experience with transcription of reports and/or HCAI is considered an asset.
Technical Skills:
- Excellent oral and written communication and superior organizational skills are necessary.
- Computer proficiency with Microsoft Office Applications and excellent typing skills required.
Performance Skills:
Service oriented, strong verbal communication skills, ability to build relationships with others, ability to act as a team player, flexible/adaptable, demonstrated technical abilities.
Fluent in Mandarin/Cantonese is an asset.
