The Financial Services Executive Assistant will be responsible for assisting our Financial Planning team in an administrative capacity. You would be working alongside two other administrative assistants as well as two assistant advisors and our senior financial planner. The successful candidate will possess a keen eye for detail and accuracy and be able to work under tight timelines and be flexible and self managed.
APPOINTMENTS
- Appointment booking including calendar entry & co-ordination
- Appointment confirmations & mailing/collection of any pre-appointment material
- Meeting preparation (e.g. agenda, copies of client statements)
- Post appointment duties including administrative processing
- Enter & maintain client notes in Salesforce database
CLIENT CONCIERGE
- Enter client information (e.g. DOB, address updates) into Salesforce database
- Send e-mail authorizations & KYC updates to clients (CASL)
- Handle banking and beneficiary changes
- Handle returned/NSF insurance & investment payments
- Order client gifts (flowers, baby blankets, etc.)
INSURANCE
- Run life insurance illustrations using various company software
- Fax insurance signature pages and file all documents in a compliant manner
- Communicate with clients throughout the underwriting process
- Liaise with underwriters, providers, doctors’ offices, clients and advisors to keep the underwriting process moving efficiently
- Ensure newly-issued policies are delivered and recorded in Salesforce database.
INVESTMENTS
- Assist with data collection and preparation of files for investment meetings
- Communicate with clients throughout the account opening process
- Open accounts on Svi-App and send off transfer forms to relinquishing institution and track until funds are received
- Ensure all required compliance forms and documents are sent to the client and logged on Salesforce
OTHER DUTIES AS REQUESTED
Job Requirements:
Existing Mutual fund or CSC Securities License
Minimum of 3 years experience in an administrative capacity
Post secondary education a strong asset
Excellent knowledge of Microsoft Office Suite
Must be able to self manage with little to no direct supervision
Team player with a positive attitude
Strong attention to detail
Compensation:
Commensurate with experience
