What you’ll do
It’s safe to say, there’s no shortage of variety in what we do. Here are some key accountabilities of the role:
- This position is responsible for providing advanced and highly confidential administrative support services to a department Vice President (or above).
- Provides full administrative assistance including preparing documents and presentation materials, screening, and responding to incoming correspondence, inquiries, phone calls, drafting letters and emails, arranging and attending meetings, taking and distributing minutes.
- Maintains the VP and/or SVP calendar, daily schedules, and office records.
- Basic administrative assistance to AVP level, as required.
- Collects and prepares information for the use in discussions/meetings of executive staff and outside individuals.
- Works with executives within and outside the company, customers, vendors, visitors, and other dignitaries.
- Acts as a link between SVP and staff, internal departments, outside agencies, and the public.
- Ensures the smooth flow of paper, maintains schedules, arranges amenities, and maintains files; sort mail, including preparation and distribution of all outgoing mail.
- Works with standard spreadsheets and word processing packages.
- Compiles data and prepares reports.
- Organizes event details such as menus, accommodation, audiovisual equipment, upgrades, agendas, and maps.
- Assists the in-house travel department with travel arrangements by providing accurate information pertaining to complete bookings of trips (e.g. flights, cars rentals, hotels, meeting venues etc.).
- Accurately tracks vacation, floater, and sick days, for VP and SVP level.
What you’ll need
To begin your career with us, we require the following:
- A minimum of five (5) years of professional work experience in advanced administrative, including experience such as: reporting, photocopying, filing, mail distribution, scheduling, arranging travel, maintaining room bookings, managing equipment etc.
- Highly skilled in time management (multitasking, prioritizing), conflict management (i.e. organizing meetings, satisfying several different time schedules), highly attentive to details, problem solving and decision making.
- Excellent verbal and written communication skills.
- Excellent working knowledge of MS Office Suite (i.e. Outlook, Word, Excel & PowerPoint); previous experience with content management of a SharePoint site is considered an asset.
- Basic knowledge of finance; enjoys working with numbers and conducting basis analysis.
- Must maintain strictest confidentiality in day-to-day and works effectively with minimal supervision.
Salary Range: $58,910 - $82,472 /year
This represents the expected hiring range and may not represent the full pay range for the position. The salary offered may be higher than the posted range depending on several factors such as relevant skills, qualifications, and experience.
