We are seeking a highly organized and detail-oriented Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office and providing administrative support to our staff. This is a key position that requires excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously.
Duties:
- Manage and maintain office supplies inventory
- Coordinate and schedule meetings, appointments, and travel arrangements
- Perform general clerical duties, such as data entry, filing, and photocopying
- Assist with budgeting and financial record-keeping tasks
- Manage payroll processing and employee timekeeping records
- Maintain office cleanliness and organization
- Answer phone calls and direct them to the appropriate staff members
- Greet visitors and provide them with necessary information or assistance
- Ensure compliance with company policies and procedures
- Create and process invoices accurately and in a timely manner
- Obtain shipping rates and prepare outbound shipment documents.
Skills:
To be successful in this role, you should possess the following skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Experience in training development is preferred
- Proficient in clerical duties such as filing, data entry, and record keeping
- Basic budgeting knowledge is a plus
- Excellent file management skills
- Familiarity with payroll processing procedures
- Ability to effectively manage vendor relationships
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Exceptional phone etiquette and communication skills
- Proficiency in QuickBooks is a must.
