Office Assistant

The person in this position would be responsible for the organization of the office and serve as the first point of contact (from 8:30 am to 4:30 pm, Monday to Friday) for our residents, staff, families and visitors, while maintaining a positive attitude. Qualifications include:
College diploma in business management, medical records or equivalent work experience.
Experience in payroll and human resources.
Excellent organizational skills with strong attention to detail.
Excellent verbal and written communication skills.
Strong computer skills (Outlook, Excel, Word).
Enjoy working in a team environment.
Demonstrated knowledge of retirement/long-term care home structure and functions.
Demonstrated keyboarding skills (minimum 50 words per minute).
Demonstrated excellent communication skills in English (written and verbal) and interpersonal skills to interact with a range of individuals in a variety of situations, which require tact, discretion, and confidentiality.
Demonstrated ability (through performance) to be highly motivated and flexible with the ability to adapt quickly to new situations/challenges.
Demonstrated ability (through performance) to organize and prioritize workload and multitask under pressure.
Demonstrated ability (through performance) to work both independently and as a productive team member.
Understands and demonstrates (through performance) an acceptable level of ethical conduct and a thorough understanding of discretion and confidentiality.
Above average work performance and attendance record required.

Demonstrated proficiency in written and verbal communications skills in relation to working with people across the care continuum.
Responsibilities and requirements include:
Maintain accurate and up-to-date employee records, ensuring compliance with company policies and legal requirements.
Assist in onboarding new employees, ensuring a smooth transition into the company and completion of all necessary documentation. Handle confidential HR-related information with discretion and professionalism.
Manage administrative timekeeping system and assist with payroll ensuring attendance and leave data is accurately captured.
Manage daily office operations including ordering of office supplies, maintaining equipment, and ensuring the office environment is well organized and conducive to productivity.
Handle incoming calls, email, mail and courier packages, responding or directing inquiries as necessary.
Excellent interpersonal, written and verbal communication skills; pay close attention to detail with a positive and professional attitude.
Responsible for all reception and clerical duties including customer service, answering phones, resident trust accounts, office and resident filling and all other duties as needed.
Ability to exercise good judgement, initiative and be pro-active.
Strong analytical and problem-solving skills.
Manage and update required databases and contact information.
Assisting Office Manager and management staff as needed; demonstrate strong teamwork.
Perform other related duties as required.
