The Payroll Assistant provides first point of contact service to KHSC employees regarding all payroll-related inquiries and requests via email, telephone and in-person communication paths. Contributes to overall departmental success by providing accurate and timely information/documentation upon request or through triaging/redirecting to the appropriate area when necessary. Supports the department by completing administrative tasks when required such as data entry, time capture detail, filing and organization.
Within this role, the employee is accountable for contributing to the delivery of the Kingston Health Sciences Centre strategy. As an employee, one must demonstrate an awareness of and be responsible for actively promoting and supporting patient and family centered engagement and care in all we do.
DUTIES AND RESPONSIBILITIES:
- Liaise with both internal and external contacts daily using various modes of communication in order to resolve issues and provide information. The main function of this role is to provide accurate direction and explanation regarding payroll inquiries; including but not limited to legislative/collective agreement requirements, payroll calculation and pay stub explanation, error investigation and resolution decisions, and triaging/redirecting where required.
- Processing of electronic and manual timesheet data, ensuring it is complete, accurate and meets deadline requirements.
- Supports payroll processing through data entry and upload completion from various sources including participation in control/auditing processes.
- Organizes and maintains all payroll documentation through efficient filing, archiving and storage procedures to ensure KHSC remains compliant with legislated retention requirements.

BASIC QUALIFICATIONS:
- Two- or Three-year diploma in Business Administration – Accounting or Finance, or
- Completion of payroll-specific programs through credible providers (i.e., National Payroll Institute, accredited colleges or equivalent)
- Two years’ work experience in an automated payroll environment within the last 5 years
- Payroll proficiency and knowledge will be tested (minimum mark 70% required).
- Demonstrated proficiency with Windows applications including Word (Level 1), and Excel (Level 1) will be tested. Typing speed of 40 wpm – will be tested.
- Ability to communicate effectively and diplomatically with a variety of individuals through multiple media.
- Demonstrated clear oral and written communication skills, including exceptional customer service skills, are required.
- Proven ability to organize, analyze, reconcile, and adjust account with minimum supervision, and to provide adequate audit trails.
- Demonstrated understanding of legal regulations with regards to a hospital setting, e.g., Ministry of Health and Long-Term Care; CRA, application of multiple collective agreements in a unionized environment, etc.
- Demonstrated understanding of an integrated accounting software environment.
- Proven ability to attend work regularly.
- Satisfactory criminal reference check and vulnerable sector search required.
