CMHA Kelowna is hiring a full-time Finance Administrator – Accounts Payable. This position is full-time, 37.5 hours per week, Monday to Friday.
WHO IS A FINANCE ADMINISTRATOR- ACCOUNTS PAYABLE?
We are looking for a detailed oriented person with a strong understanding of the accounts payable process and appreciation for accuracy and data integrity. You will be responsible for all functions of the accounts payable process including payment processing via cheque and Electronic Funds Transfer (EFT), vendor invoice processing and inquiry support, employee mileage and expenses processing, employee credit card processing and Accounts Payable reporting. You will report directly to the Financial Controller and will work closely with the finance team and staff from across the organization who require assistance or information.
WHAT DOES A FINANCE ADMINISTRATOR- ACCOUNTS PAYABLE DO?
- Post vendor and landlord invoices and related credits.
- Professional verbal and written communication with vendors and employees for invoice and expense queries and possible errors.
- Daily review of bank account for auto payment posting to accounting system.
- Reconcile and assign department coding to bulk vendor invoices.
- Reconcile and issue landlord monthly rent payments, including communications with our Property Manager in relation to rental increases, move-ins and outs.
- Process payments via EFT and cheque to vendors and employees.
- Maintain vendor contact information in Sage and on online portals, including verifying banking information for accuracy.
- Process monthly employee expense and mileage claims.
- Process monthly company credit card expenses.
- Support to internal and external clients in relation to Accounts Payable.
- Review Aged Overdue Accounts Payable weekly to ensure invoices are paid per terms.
- Use Excel to track and calculate cost allocations.
- Maintain strict confidentiality.
- Ensure compliance with internal accounting controls and policies.
- Perform other accounting administrative duties as required by the Financial Controller.
YOURE STRENGTHS AND EXPERIENCE:
- Recent, accounts payable experience of 2-years or more, or an equivalent combination of education, training, and experience determined to be reasonable and relevant to the level of work.
- Experience in Excel.
- Accounting Diploma is preferred.
- Experience in Sage 50 is preferred.
- Knowledge of practices and procedures related to the accounting cycle.
- Ability to do mathematical and financial calculations.
- Ability to analyze and resolve problems.
- Non-profit experience an asset.
- You thrive as part of a team – able to work cooperatively with others and independently.
- Communication and time management skills with an eye for accuracy and data integrity.
- You have a calm focused approach to your work and can prioritize tasks.
- You are enthusiastic and committed to improving organizational systems and processes.
- You have a positive, outgoing attitude and take direction well.
