Job Title: Residential Property Administrator
Reports to: Property Manager & Director of Operations

Summary of Function: Under the direction of the Property Manager and/or Director of Operations, you will oversee the co-ordination of all work described for this role at the property.

We are seeking a motivated and detail-oriented Residential Property Administrator to oversee the management of three apartment complexes in Brockville. The successful candidate will be responsible for maintaining high standards of customer service, administration, and property maintenance to ensure tenant satisfaction and efficient property operations.
1. Customer Service
o Respond to resident inquiries, feedback, and concerns.
o Coordinate with onsite and external maintenance personnel daily.
o Provide residents with service information and ensure adherence to customer service policies.
o Act as a liaison with other employees and maintain high levels of resident satisfaction.
o Recommend service improvements based on resident feedback to the Property Manager and/or Director of Operations.
o Maintain professional appearance and promote the organization positively.
2. Administration
o Prepare, distribute, and manage resident notices and general correspondence.
o Assist with the preparation and distribution of LTB legal forms, and follow procedures.
o Record rents in Yardi, issue receipts, and reconcile Petty Cash.
o Assist with Accounts Receivable procedures including preparing notifications, demand and default notices, and follow up.
o Track and distribute lease documents, create new tenant files, update contact lists and prepare welcome packages.
o Maintain logs of contractors and resident complaints, support Resident Service Technician.
3. General
o Prepare vacant apartments for showings/move-in within 5 days of renovation work being completed.
o Conduct daily inspections and assess conditions of each property to report to the Property Manager / Director of Operation.
o General cleaning duties will need to be carried out as required.
o Flexible in schedule to show vacant units to prospective residents.
o Pick-up supplies as required.
4. Safety & Compliance
o Follow safety protocols and ensure compliance with health and safety regulations.
o Report building hazards, security concerns, or major repair needs promptly.
o Record and submit fire log entries and file incident reports.
o Secure common area doors and exit doors daily.
Note: In addition to the responsibilities listed, the Residential Property Administrator may be required to perform other duties as assigned to support the overall operation of the property and ensure resident satisfaction. Flexibility and adaptability are key components of this role.
Requirements:
- Education & Experience:
- Minimum 2-years in Property Management.
- Skills & Abilities:
- Proficiency in all aspects of Office 365 including MS Outlook, Excel, Word, Teams.
- Property Management software. YARDI is an asset.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Strong troubleshooting and problem-solving skills.
- Additional Requirements:
- Must have a valid driver’s license and own a reliable vehicle to travel between building locations in Brockville.
Schedule: Full-time, with flexibility to work outside of regular hours as needed.
