The ideal candidate will have experience in legal administrative support and a background in management. We are looking for an organized and detail-oriented professional with a proven ability to manage a team, handle legal tasks, and ensure the efficient operation of our office.
This is a key role that will involve supervising a team of junior legal assistants, assisting solicitors with, drafting documents, managing case files, and overseeing day-to-day office operations.

Job Description: In this role you will play a key role in assisting in various administrative tasks to enhance our workflow and processes. The successful candidate will oversee file management and allocation, accounting, financial reporting in compliance with the requirements of the Law Society and day to day management of the firm’s administrative needs.
Key Responsibilities:
Communication and Coordination:
· Onboard clients and complete client intake in compliance with the Law Society requirements
· Correspond with clients, solicitors, support staff and external third parties
· Maintain clear and effective communication channels with the team members and clients
File Management:
· Open and close client files efficiently
· Maintain effective filing systems ensuring files are closed, maintained and tracked
· Perform necessary administrative tasks related to file management
Financial Management
· ensure trust accounting is compliant with the Law Society rules and regulations
· work in conjunction with bookkeeping and accountants to complete accounting requirements of the firm
· oversee accounts receivables processes, invoicing and complete daily accounting tasks to support conveyance team with their financial transactions
Calendar and Meeting Management:
· Maintain and manage lawyers' calendars
· Coordinate meeting schedules and utilize a bring-forward system
Office Tasks:
· Complete various general office-related tasks to manage overall office operations
· Support team members to maintain an organized and efficient work environment
Document and Correspondence Drafting:
· Assist in the drafting of legal documents and correspondence
· Ensure accuracy and adherence to legal standards
Qualifications:
· 5-7 years of experience as an office administrator in a law firm setting
· Proficiency with PC Law, BC Online, LTSA,
· Experience in administrative support work or customer service.
· Post-secondary education from a recognized Legal Assistant/Paralegal program
· Knowledge of conveyancing procedures
· Experience in assistance in litigation matters is an asset
· Effective communication skills with clients, colleagues and third parties
· Ability to handle sensitive or private information with appropriate discretion
· Highly organized and detail‐oriented with ability to multi‐task and prioritize
· Excellent communication skills, both written and verbal
· Flexible, team player that is client service oriented
· Enjoys a fast-paced environment and works well under pressure
· Ability to work collaboratively in a team and across different departments
· Highly self-motivated, proactive, and adaptable to changing priorities
What We Offer:
· Competitive salary and benefits package in the range of $65,000.00 - $70,000.00 depending on ability and experience level.
