Job Description
This position will be responsible for in depth and high touch administrative support for the President and Country Manager of Visa Canada. Must have the foresight and expertise of staying steps ahead and anticipating needs. Must be someone who enjoys the EA role, is confident and capable, and has depth and experience working with executives.
This is a great position for a Career Executive Assistant who wants to partner with a visible, executive in a long-term position. This is a Client and Executive facing role.
Accountabilities:
- Plan, coordinate and fully execute logistics for clients and internal special events
- Actively manage the diary. With often conflicting entries., in a precise and timely manner, and proactively manage the forward planner to create and maintain a coherent record of all events work and private in orderly format.
- Leverage professional tactics for 'acting, declining or redirecting' clients and/or employees.
- Act as first contact for the President & Country Manager of Canada and play role of liaison, problem solver, and facilitator.
- Create polished PowerPoint presentations
- Draft email communications on behalf of the President & Country Manager
- Conduct vendor negotiations
- Manage the executive budget
- Collaborate with the Strategy & Operations team on ad hoc projects
- Track open issues and follow-up items to closure
- Manage agendas for key meetings such as the Canadian Leadership Team and Account Executive Leadership Team.
- Work with key leaders in the Canadian office to ensure timely delivery of their commitments (e.g., reports).
- Organize key staff events (e.g., All Staffs, bi-annual reviews).
- Coordinate complex International Travel Requirements (Itinerary, Visas)
- Act as the Senior Executive Assistant and provide mentorship to the other executive assistants in the Canadian office.
- Manage significant load of electronic filing, expense reporting & record keeping
- Preparation of high-level meetings and events involving multiple companies
- Comfort with purchase card, occasional Purchase Order & invoice support.
This is an on-site position. An on-site position must be consistently performed at an assigned Visa office location and require daily commute to the office location.
Qualifications
- 5+ years of event planning experience
- 10+ years of experience supporting high level executives
- Must have experience in supporting executives in a fast-paced and demanding work environment.
- Demonstrated professionalism and experience in working with highly confidential
information.
- Understand that discretion is key in maintaining confidentiality. Learn to read between the lines and
discern what information is meant to be shared and what should remain confidential. Be mindful of
the surroundings and choose the appropriate communication channels for sensitive information.
- Can-do attitude, must be proactive and solution oriented, looking for ways to add value and assist
the team.
- Demonstrated ability to multi-task, respond to needs quickly and efficiently and prioritize work with
a strong attention to detail.
- Must be a self-starter and able to work with little or no supervision and be curious.
- Professional demeanor and ability to effectively communicate and collaborate with a diverse range
of people and job functions.
- Exercise excellent judgment in setting priorities and interacting with internal and external contacts.
