As a Front Desk Administrative Assistant, you play a crucial role in creating a safe and comforting patient experience, which is the heart of everything we do at our two locations. You will be the face and voice of a dental practice that is dedicated to being helpful, cheerful and welcoming to ALL smiles.
We are looking for someone who can help cultivate a calm and friendly ambiance in our waiting room, while also efficiently managing patient appointments and supporting other administrative tasks. Who you are:
As the first and last point of contact for most of our patients, our admin team plays a crucial role in the overall patient experience. You are someone who can multitask and is happy while doing so. Our modern dental practices on Vancouver Island are specifically designed to feel calming and we’re looking for individuals who embody that same feeling. You are eager to continue your professional development and make meaningful connections within your local community.
What you’ll do in this role:
- Be the voice and face of Nanaimo Smiles and Ladysmith Smiles; warmly greet patients as they arrive and offer a friendly and reassuring presence that leads to a long-term patient relationship.
- Effectively manage and optimize scheduling with dental hygienists and dentists, while prioritizing patient needs and preferences.
- Answer patient questions or concerns in a non-judgmental, friendly manner.
- Act as the ensuring effective communication between the patients, dentists, denturists and other team members to maintain smooth operations.
- Act as a liaison helping hand whenever possible with other administrative tasks (managing paperwork, filing and supporting other team members) during quieter times.
- Be reliable and punctual for shifts; arriving on time and ready to make others smile as you contribute to the seamless experience of the dental practice.
- Demonstrate kindness and empathy when dealing with patients, making them feel comfortable and valued throughout their dental visit.
In order to be considered, you have:
- A minimum of two years of dental administrative experience in Canada.
- Successful completion of a vulnerable sector check.
- An innate ability to remain calm, composed and professional while mulittasking in a fast-paced environment—you are the face of our practice!
- A willingness to adapt quickly and effectively to ensure smooth daily operations and patient experience.
- Communication and team work is key; we are looking for individuals who have excellent verbal and written communication skills that exude a friendly, warm tone with both patients and the dental team.
- Multitasking will be part of your daily life here at Nanaimo Smiles; our new admin assistant will need to be capable of handling multiple tasks simultaneously, prioritizing accordingly.
- Being proficient with computers and basic softwares is crucial. Technical proficiency with computers and basic software is crucial (dental practice management softwares, scheduling systems, business phone systems, etc.).
- Basic knowledge of dental anatomy and dental procedures.
- Detail-oriented and able to maintain accurate patient records.
- Experience with accounts receivable. Understanding non-assignment vs. assignment of insurances is an asset.
