Job Overview
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support to professional accountants, helping them efficiently manage documents, client communications, and office tasks.
Responsibilities
- Assist in preparing and organizing accounting and tax-related documents and filings.
- Communicate with clients, vendors, and other professionals via phone and email.
- Maintain office organization and filing systems.
- Support professional accounting team members with administrative tasks such as scheduling appointments and managing calendars.
- Handle front desk duties including greeting visitors and answering inquiries
- Keep track of important dates, deadlines, and follow-ups.
- Assist the director of HR-related tasks including onboarding and offboarding processes, and health & safety compliance.
- Organize and execute internal employee events, social activities, and learning sessions.
- Manage logistics, including venue arrangements, catering, and materials.
Skills
- Previous experience in a professional office environment is required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Able to handle multiple priorities in a fast-paced, ever-changing working environment.
- Excellent time management and organizational skills.
- Familiarity with phone systems and excellent phone etiquette.
- Knowledge of iFirm is a plus.
- Knowledge of accounting is preferred.
- Project management skills are preferred.
