Overview
We are seeking a dedicated and organized Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing essential administrative support, and maintaining an efficient front desk environment. This position requires a proactive individual with strong organizational skills and proficiency in various office software, including QuickBooks and Real Estate Scheduling Systems
Duties
- Manage daily office operations, including scheduling appointments and coordinating meetings.
- Serve as the first point of contact for clients and visitors, handling inquiries via phone systems and in-person interactions.
- Maintain accurate filing systems and ensure all documents are organized and easily accessible.
- Process financial transactions using QuickBooks, including invoicing and payment tracking.
- Assist with general administrative tasks such as data entry, correspondence, and inventory management.
- Collaborate with team members to improve office processes and enhance overall efficiency.
Qualifications
- Proven experience in an administrative role, preferably within a real estate office setting
- Proficiency in QuickBooks, Microsoft Word, Docusign
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written, to effectively interact with clients and colleagues.
- Familiarity with front desk operations and phone systems is a plus.
- A detail-oriented mindset with a commitment to maintaining confidentiality of sensitive information.
