We are seeking an experienced and dynamic Program Coordinator to lead our organization towards continued growth and success. The ideal candidate will be responsible for overseeing all aspects of our operations, driving strategic initiatives, and ensuring the organization's overall success.
Job Summary: The Program Coordinator plans, organizes and implements the goals as outlined in the strategic plan of the organization. The incumbent works closely with the Board of Directors to foster the best possible outcome for the SCB in the community.
Reports to: Board of Directors
Key Duties and Responsibilities: Key duties and responsibilities are divided into four areas: Administration/Program Coordination, Volunteer Coordination, Public Relations/Community Outreach, and Fundraising.
Specific responsibilities of this position include:
Administration/Program Coordination
- Set-up and manage the SCB office;
- Manages the office and Toy Depot and oversees the annual collection and distribution of donated toys;
- Coordinates and facilitates Board meetings;
- Implement the Board’s Strategic Plan for the organization;
- Maintain an up-to-date database of donors and clients;
- Ensure effective management of accounting functions, including accounts receivable, accounts payable, payroll, bookkeeping, bank reconciliations and banking;
- Ensures that accurate budgeting and control of expenditures are maintained.
Volunteer Coordination
- Recruits volunteers and provides orientation, training and provides performance management action as required;
- Provides ongoing supervision of volunteers; required.
- Organizes volunteer appreciation events and acknowledgements.
Public Relations & Community Outreach
- Develop a strategy for improving the organization’s profile in the community;
- Event planning relating to the goal of raising the profile of the organization;
- Work with the Board of Directors to raise the profile of SCB through the media
- Establish and maintain a good working relationship with other community organizations in Surrey and explore opportunities for sharing resources and energies;
- Ensure SCB website is up-to-date;
- Maintain SCB’s positive profile in the larger community.
Fundraising
- Research and write grants to secure additional SCB funding;
- Event planning and implementation relating to the goal of raising funds for SCB;
- Establish and maintain a good working relationship with community organizations and businesses in Surrey for potential sponsorship;
- Assist groups, where possible, who wish to hold fundraising events on behalf of the SCB.

Knowledge, Skills & Abilities:
The position requires a four-year degree or equivalent post-secondary, as well as extensive experience related to event/program coordination and development; community/business development experience; excellent broadly based skills in communications, including all media modalities; long range planning; work and business plan development; superior interpersonal and conflict resolution skills. The Coordinator is expected to have above average technology skills related to Microsoft 365 applications, databases, online platforms like Survey Monkey, Square, Canada Helps and Google applications. The Coordinator must be able to interpret data and draw conclusions about the data which will help guide the organization. Since the pandemic we have moved many tasks online so demonstrated proficiency in this area is critical.

Other Requirements:
The position involves irregular workdays and weeks, including evenings and weekends. As a salaried employee overtime is compensated for by time off, with prior approval from the Board of Directors. If the use of a vehicle is required, the incumbent may claim reasonable mileage, based on the current rate as established, from time to time by Association policy.
