Position Summary:
We are seeking a meticulous and detail-oriented Payroll Administrator to join our team. In this role, you will share the responsibility for managing the end-to-end payroll process to ensure accuracy and compliance with all relevant regulations. You will work closely with site managers, HR, and other key departments to resolve discrepancies and improve payroll processes.
Key Accountabilities:
- Timecard Review: Review and verify team member timecards using the Time and Attendance system. Identify inconsistencies and liaise with site managers and HR to resolve issues
- Data Transfer: Transfer timecard data into the Human Capital Management (HCM) system.
- Earnings Verification: Verify earnings and apply adjustments for garnishes, gratuities, retro-pay, taxable benefits, union dues, and other irregular deductions/pay adjustments.
- Payroll Processing: Process payroll in the HCM system and generate direct deposit files.
- Documentation Preparation: Prepare and maintain payroll documentation, records, and files in compliance with regulatory requirements.
- Benefit Adjustments: Prepare adjustments for benefit arrears as needed.
- Database Management: Maintain the payroll database, identify inconsistencies, and resolve discrepancies in collaboration with HR. Ensure a hard copy file system is maintained as a backup.
- Communication: Communicate effectively with all relevant operational departments and build strong working relationships with team members and internal and external regulators.
- Compliance: Ensure adherence to CRA, HRDC, Health and Safety, and other statutory regulations.
- Process Improvement: Identify issues within the payroll process and propose procedural or system enhancements to improve accuracy and efficiency.
- Inquiry Resolution: Respond to and resolve internal and external payroll inquiries
- Additional Duties: Perform other duties as assigned or directed.
Education and Qualifications:
- High School Diploma; post-secondary education in payroll or a suitable combination of education and experience an asset
- Canadian Payroll Association certificate an asset
- Minimum 3 years of high-volume payroll experience
- Experience with Oracle HCM Cloud an asset
- Experience with Time and Attendance systems (Kronos, Virtual Roster or other) an asset
- Computer literacy in MS Office, Excel at an intermediate level
