Position Overview:
The Payroll Specialist is a key member of the People and Culture team, supporting multiple higher education institutions under the GUS Canada Colleges division. The incumbent is responsible for timely and accurate payroll processing and HRIS (Dayforce) maintenance and project support.
The successful candidate will bring strong knowledge of payroll compliance and legislation, attention to detail and a service-oriented approach to our staff and faculty.
Key Responsibilities:
- Accurately and efficiently process biweekly payrolls for hourly and salaried staff, faculty, and independent contractors. Ensure data accuracy and compliance with company policies, and federal and provincial regulations.
- Maintain accurate and up-to-date employee payroll records, including personal information, salary adjustments, benefits deductions, tax withholding, and other relevant data.
- Review and validate expenses for reimbursement in compliance with policies and applicable legislation.
- Prepare and submit required payroll reports, such as tax remittances, wage garnishments, and retirement contributions.
- Respond promptly and professionally to payroll-related employee inquiries.
- Resolve any payroll discrepancies or issues, collaborating with relevant departments as needed.
- Maintain accurate payroll-related documentation, including procedures, policies, and guidelines. Develop and deliver training materials to educate employees and cross-functional teams on payroll-related matters, ensuring they understand payroll processes, deductions, and policies.
- Collaborate with People and Culture teams to facilitate onboarding, offboarding, employment and compensation change processes. Ensure data integrity and up to date records in HRIS.
- Collaborate with People and Culture and Finance teams to assist with audits, providing requested documentation and reports.
- Issue year-end T4s and T4As.
- Continuously evaluate and streamline payroll processes to improve efficiency, accuracy, and data integrity.
- Assist with day-to-day HRIS maintenance and troubleshooting by investigating and resolving issues and escalating to the Manger as necessary.
- Support the Payroll and Benefits Administrator and People and Culture teams with benefit administration where needed (ex: pay deductions, enrollment, change and termination documents).
- Stay informed about industry best practices and recommend changes to enhance payroll operations.
- Ensure confidentiality and security of employee information.
- Other related duties as assigned.
Requirements:
- Completion of post-secondary education in a related field.
- 3-5 years of payroll experience
- Payroll Compliance Practitioner (PCP) designation – an asset
- Experience using payroll software, experience with Dayforce is a strong asset.
- Intermediate -Advanced Excel skills
- Strong attention to detail
- Strong time management and organizational skills
- Strong communication skills, verbal and written
- Ability to handle confidential information with tact
