The Bus Maintenance and Shops department is looking for an Administrative Assistant!
This successful incumbent will be responsible for providing administrative support to the department while carrying out special projects.
- Planning and coordinating the daily activities of the Bus Maintenance and Shops office;
- Processing all incoming correspondence addressed to the Head and initiating action to be taken;
- Department, including queries from senior management, follow-ups, etc.;
- Answering and/or screening telephone inquiries and/or concerns/issues received from various internal/external sources;
- Provide daily administrative assistance for the department, including meeting coordination and support for various departmental meetings.
- Monitor, track and maintain information/data/ records/files, following up, and updating as required.
- Liaise with staff and groups within and outside the department, and/or external organizations concerning matters regarding assigned work.
- Assist and/or prepare the department's administrative operating budget, capital budget, other budgets and/or cost estimates as required for the department, and may monitor expenditures.
- Coordinate and/or provide training to staff, including arranging for training and providing guidance relative to the resolution of problems.
- Administering payroll for Department Section Heads i.e. entering mileage, overtime, etc., in accordance with corporate policy, practices, etc., using the On-Line Attendance Reporting System (OARS);
- Setting up, inputting data and maintaining various computerized databases for Department activities e.g. statistics pertaining to vehicle mileage, fleet utilization percentages, etc.;
- Assisting with the word processing, set up (tables, graphs, spreadsheets, etc.) and editing of various budget reports;
- Participate and assist with special projects and activities as directed.

- Post-secondary education in a related discipline (i.e. Office Administration, Business Administration, etc.) or a combination of education, training and experience deemed to be equivalent.
- Requires knowledge of business administration concepts and practices combined with a sound knowledge of modern office methods, procedures, practices and equipment as well as a good knowledge of research methods and techniques.
- Prior administrative or clerical experience in a similar or related work environment.
- Must be proficient in the use of a personal computer, mainframe, and software applications and computer capacity relevant to the work (i.e. Word, Excel, Power Point, Access, OARS, PPS).
- Must possess sound judgement; excellent organizational, interpersonal, oral and written communication skills (grammar, punctuation and spelling).
- Must be detail-oriented and have the ability to handle several responsibilities at once, under minimal supervision.
- Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
