Overview
Reporting to the Payroll Manager in the Finance Department, you will be responsible for processing the biweekly payroll for designated departments and providing related data to internal stakeholders and external agencies.
Job Responsibilities
- Participate in and coordinate the bi-weekly payroll processing for approximately 3,500 employees in a unionized environment, ensuring accuracy in payroll processing.
- Update or audit employee information and maintain data integrity in the payroll system, including new hires, transfers, terminations, etc.
- Prepare benefit reports, identifying new enrollments, terminations, and any changes to coverage or contributions.
- Reconcile payroll discrepancies, prepare payroll adjustment forms, and calculate manual cheques.
- Administer the ATA Time & Attendance system and associated timekeeping activities.
- Update employee information in the Time & Attendance system.
- Generate Records of Employment (ROEs) and address insurable earnings inquiries from Service Canada.
- Prepare payroll reports as requested by internal and external stakeholders.
- Assist in the preparation of Year-End T4/T2200 forms.
- Respond to employee inquiries in a professional and timely manner.
- Maintain personnel files and records, ensuring confidentiality.
- Identify and respond to issues in a timely manner, demonstrating appropriate follow-up, and ensuring compliance with hospital policies and union collective agreements.
- Follow up with department managers, unit clerks, or timekeepers regarding employee attendance, status changes, and payroll adjustments.
- Support payroll administrators or managers in resolving payroll-related issues.
- Contribute or support to the payroll team with the new HRIS implementation.
EDUCATION
- Post-secondary college education in General Accounting, Business Administration, Payroll, or an equivalent combination of education and experience.
- Payroll Compliance Practitioner (PCP) Certification required, or an equivalent combination of education and experience.
Qualifications
- Minimum of 3 years' payroll experience in a high-volume, unionized, and complex payroll environment.
- Knowledge of payroll practices and government legislation.
- Excellent computing skills, proficiency in MS Office, Outlook, and Excel is mandatory.
- Excellent communication skills and customer service abilities.
- Contribute to the team's success by bringing enthusiasm, collaboration, and a positive attitude to the workplace.
- Knowledge of in-house payroll is an asset, or experience with Workday is preferred.
- Experience with HRIS and payroll implementation is preferred.
- Knowledge of the full payroll cycle for Ontario.
- Previous experience in a healthcare environment.
- Good work and attendance record required.
