Who are we looking for:
We are seeking a highly skilled Accounts Payable (A/P) Manager to lead our A/P department and report directly to the Controller. This key role is responsible for overseeing the entire A/P function, ensuring the efficient management of daily operations, and strategic planning of departmental workload. Key responsibilities include directing the payment processing to vendors and individuals, maintaining comprehensive financial records, and managing a range of administrative tasks
Responsibilities:
· Drive strategic management to ensure compliance and develop effective payment strategies to ensure timely payments and resolve supplier objections.
· Partner with the CFO to set and achieve collection goals, enhance A/P performance, and lead the analysis of operations to identify and implement improvements.
· Lead audits of purchase requests and company bills, ensuring accurate invoicing and GL account allocations through the PO system, and enforce compliance with A/P policies.
· Supervise the categorization, coding, and processing of financial transactions, including bills, invoices, and reports, ensuring accuracy and efficiency.
· Oversee the approval of expenditures, ensuring budget adherence, and lead the preparation and processing of various payment forms (cheques, credit, etc.) to third parties.
· Lead investigation and resolution of payment problems, adhering to corporate A/P policies, and proactively manage vendor queries and complaints to maintain strong relationships.
· Foster and maintain positive relationships, resolve problems effectively, and oversee the review and investigation of invoices, communicating errors to relevant parties.
· Resolve complex billing and tax issues, engage with auditors and tax specialists, and drive adherence to A/P policies and procedures.
· Oversee the development and maintenance of training materials and departmental procedures, ensuring all team members understand company policies related to allowances, expenses, and direct payments.
· Enforce organizational confidentiality, and enhance team success through support, empowerment, and effective teamwork, boosting staff loyalty and productivity.
Requirements:
· 5+ years of A/P experience with strong skills in managing financial records.
· Experience in data gathering, financial reporting, and Construction Job costing (asset).
· Ability to manage and lead teams, ensuring deadlines are met in a fast-paced environment.
· Ability to perform complex account reconciliations and handle late payments with negotiation and conflict resolution skills.
· Strong attention to detail, work ethic, teamwork, communication, and relationship-building skills.
