What's the opportunity?
We're looking for a motivated individual to join us full-time as an Executive Assistant to our CEO. This role is pivotal in providing exceptional administrative support and organizational coordination. Location: Downtown Toronto (Hybrid)
Key Responsibilities:
- Calendar and Meeting Management: Efficiently manage the CEO’s professional and personal calendar, coordinate appointments, and prepare for key meetings including slides, notes, etc.
- Communication Coordination: Manage the CEO's inbox, ensuring timely responses and prioritizing correspondence.
- Travel and Event Coordination: Arrange travel logistics for business and personal trips, including accommodations, and coordinate company events.
- Financial Oversight: Monitor and manage financial matters, including tax accounts, payments, and financial statements, with a keen eye for accuracy and compliance.
- Administrative Support: Provide administrative support by maintaining corporate records, organizing events, and assisting with ad-hoc projects and tasks.
- Social Media and Special Projects: Maintain official social media presence for the company and CEO, assist with ad-hoc projects and personal errands as needed.
Qualifications
- Minimum of 3 years in executive-level administrative support roles.
- Post-secondary education in Business Administration or a related field preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Excellent written and verbal communication skills, with the ability to interact effectively with stakeholders at all levels.
- Strong organizational abilities with a proactive approach to prioritizing tasks and meeting deadlines in a dynamic environment.
- Demonstrated ability to handle sensitive information with discretion and maintain a high level of confidentiality.
- Exceptional attention to detail and accuracy in all tasks and communications.
- Willingness to occasionally adjust work hours to accommodate the CEO's schedule or travel requirements.
