The Medical Office Administrator role involves various administrative responsibilities, such as:

Checking voicemail and responding to e-mails;
Preparing sleep study charts with patient documentation;
Inserting/cancelling/rescheduling/confirming appointments using EMR system;
Managing tasks in EMR;
Scanning, saving, and organizing documents;
Using referral tracking log;
Recognizing a type of sleep study and providing the appropriate instruction sheet to patients;
Issuing physician notifications;
Processing additional sleep study applications and IFH patient referrals;
Working with MS Word and Excel documents fluently;
Excellent communication, organizational, and time management skills;
A one-year administrative experience at a medical facility is an asset;
An experienced Administrative Assistant is needed but training is provided;
Oscar EMR experience is preferred experience in other EMR systems will be considered.

Responsibilities

Greet patients and visitors at the front desk with professionalism and warmth.
Manage phone systems to handle incoming calls, schedule appointments, and address patient inquiries.
Maintain accurate patient records and files, ensuring confidentiality and compliance with healthcare regulations.
Assist with vendor management by coordinating supplies and services necessary for office operations.
Support payroll processes by maintaining employee records and assisting with timekeeping functions.
Supervise office staff as needed, fostering a collaborative team environment.
Utilize QuickBooks for basic accounting tasks related to office operations.
Collaborate with medical professionals to ensure seamless patient care.

Experience

Previous experience in a medical office setting is preferred but not required.
Familiarity with front desk operations and patient management systems is advantageous.
Proficiency in using phone systems and basic office equipment is essential.
Experience in team management or supervising staff will be considered a plus.
Strong organizational skills and the ability to prioritize tasks effectively.
Excellent verbal and written communication skills are required to interact with patients and team members efficiently.

Full-time (Mon-Fri, 8:00 am - 5:00 pm, occasional earlier and later times to accommodate clinics)
