Job Overview
The Medical Office Administrator role involves various administrative responsibilities, such as:
- Checking voicemail and responding to e-mails;
- Preparing sleep study charts with patient documentation;
- Inserting/cancelling/rescheduling/confirming appointments using EMR system;
- Managing tasks in EMR;
- Scanning, saving, and organizing documents;
- Using referral tracking log;
- Recognizing a type of sleep study and providing the appropriate instruction sheet to patients;
- Issuing physician notifications;
- Processing additional sleep study applications and IFH patient referrals;
- Working with MS Word and Excel documents fluently;
- Excellent communication, organizational, and time management skills;
- A one-year administrative experience at a medical facility is an asset;
- An experienced Administrative Assistant is needed but training is provided;
- Oscar EMR experience is preferred experience in other EMR systems will be considered.
Responsibilities
- Greet patients and visitors at the front desk with professionalism and warmth.
- Manage phone systems to handle incoming calls, schedule appointments, and address patient inquiries.
- Maintain accurate patient records and files, ensuring confidentiality and compliance with healthcare regulations.
- Assist with vendor management by coordinating supplies and services necessary for office operations.
- Support payroll processes by maintaining employee records and assisting with timekeeping functions.
- Supervise office staff as needed, fostering a collaborative team environment.
- Utilize QuickBooks for basic accounting tasks related to office operations.
- Collaborate with medical professionals to ensure seamless patient care.
Experience
- Previous experience in a medical office setting is preferred but not required.
- Familiarity with front desk operations and patient management systems is advantageous.
- Proficiency in using phone systems and basic office equipment is essential.
- Experience in team management or supervising staff will be considered a plus.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills are required to interact with patients and team members efficiently.
Job Type
- Full-time (Mon-Fri, 8:00 am - 5:00 pm, occasional earlier and later times to accommodate clinics)
