POSITION MANDATE
As the Bookkeeper/Administrator, your role is crucial in supporting management and maintaining seamless operations. You will play a key role in providing bookkeeping, administration, onboarding new team members, client management, creating comprehensive reports and other essential documents, managing the calendar, and scheduling meetings and appointments.
Responsibilities:
- Provide excellent customer service to clients by addressing inquiries and resolving issues related to bookkeeping.
- Manage accounts payable and accounts receivable processes.
- Perform bank reconciliations to ensure the accuracy of financial transactions.
- Prepare and maintain financial records, including general ledger entries and account reconciliations.
- Prepare budgets.
- Generate financial reports and statements for management review.
- Monitor and manage cash flow.
- Ensure compliance with accounting principles and company policies.
- Calendar management.
- Organize and schedule appointments and meetings.
- Answer and direct phone calls.
- Correspondence.
- Order office supplies.
- Onboarding/offboarding employees.
- Book travel arrangements.
- Special projects
What we're looking for:
The ideal candidate must be highly personable, a certified bookkeeper with at least five years' experience and be QuickBooks Online certified with the following attributes:
- Solid understanding of accounting principles.
- Strong attention to detail and accuracy in data entry and record keeping.
- Excellent organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to work independently, prioritize tasks and meet deadlines.
- Expert knowledge of Microsoft Office Suite and Google's Workspace.
- Proven experience in handling a wide range of administrative and executive support tasks.
- Must be flexible and enjoy the administrative challenges.
- Must have proven ability to interact with staff and clients (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, congenial, and efficient.
- Must excel in customer service.
