Purpose/Scope:
We are seeking a motivated and detail-oriented individual as a Receptionist and Accounts Payable Clerk to join our office team. The ideal candidate will excel in both administrative tasks and financial responsibilities, ensuring smooth operations and support across various functions. They will need to be able to work with multiple tasks at the same time. Our office staff has conservative values and the importance of the fit with our existing people is important to us. So people with “woke” values probably wouldn’t fit.
Details of the Job:
Permanent and full-time position as Receptionist and Accounts Payable Clerk
Work Hours: Monday to Friday: Daytime
Looking for 3 year minimum experience
Salary: $26.00-29.00 (Salary Roughly based on experience)
Requirements for the Job:
- Manage front desk activities, including greeting visitors, answering calls, and handling inquiries with professionalism.
- Process accounts payable transactions accurately and timely, ensuring invoices are coded correctly and payments are processed efficiently.
- Prepare invoices and maintain records of financial transactions.
- Submit and reconcile expense claims, maintaining compliance with company policies.
- Organize and maintain physical and digital filing systems.
- Perform all other office related tasks
- Draft and edit documents including memos, emails, and reports
- Demonstrate respect and professionalism when interacting with senior management and team members.
- Take initiative to clarify tasks and responsibilities, avoiding assumptions, and ensuring clarity in job execution.
- Effectively manage time to prioritize tasks and meet deadlines.
- Embrace a teachable attitude and willingness to learn new tasks and procedures.
- Adapt to changing priorities and work collaboratively to maintain effective operations.
- Uphold existing systems and procedures while contributing to continuous improvement initiatives.
- Maintain a well organized and tidy office environment
Requirements:
- Experience in receptionist duties and accounts payable responsibilities.
- High school diploma or equivalent; additional qualifications in Office Administration or Business or Accounting.
- Proficiency in MS Office (Excel, Word, Outlook) and accounting software (e.g., QuickBooks).
- Strong organizational skills and attention to detail.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team and the ability to juggle multiple tasks at the same time.
- Professional demeanor and ability to maintain confidentiality.
