The Payroll & Benefits Administrator reports to the Senior Manager, Human Resources. This position is will be responsible for leading/assisting the company’s transition from one payroll system to a new system (Payroll Transition Project), as well as providing day-to-day administrative support to the Human Resources, Payroll, Benefits and General Administration functions at Safran Electronics and Defense Canada.
Responsibilities:
- Lead/Assist the Payroll Transition Project – the company will be transitioning from ADP Pay@Work to ADP Workforce Now.
- Administer hourly and salaried payroll.
- Administer and maintain HRIS (Selia/SuccessFactors), HMS TimeControl and Share offerings.
- Developing and maintaining related payroll spreadsheets, databases, tracking reports and making journal entries.
- Work with Finance when required for regulatory and business operational requirements.
- Set-up banking information for new suppliers in Accounts Payable.
- Administer, balance and reconcile Company Pension Plan.
- Administer FSCO portal.
- Balance and administer payroll Y/E and T4 slips to employees.
- Balance and administer payroll accounts (i.e. CPP/EI/EHT/Tax).
- Prepare and administer payroll schedules in ADP system.
- Reconcile payroll expense accounts.
- Follow proper payroll procedures – policies in place or the existing collective agreement.
- Administer the employee’s benefit program, including processing and troubleshooting claims, maintaining benefits records, answering employee inquiries and verifying billing statements.
- Administration of employee programs, i.e. eye exams, safety shoe program.
- Reception and daily incoming and outgoing mail.
- Archiving payroll and human resources records.
- Other duties as assigned.
Qualifications:
- Experience in ADP Workforce Now required.
- Excellent working knowledge of relevant employment and payroll legislation is required.
- A minimum of 3 years’ payroll administration work experience is required, preferably in a unionized manufacturing work environment.
- Excellent organizational, time management and communication (written and verbal) skills, as well as a strong customer service orientation is required.
- Demonstrated ability to produce accurate, high quality work in a multi-task environment.
- Ability and maturity to work proactively and solve problems independently, and handle confidential matters in a discreet manner is required.
- High proficiency is required in Excel.
Required Skills:
- Ability to accurately prepare and complete payroll and ensure harmonious relations with staff.
- Able to produce varied number of spreadsheets, ad hoc when necessary, to satisfy current and future reporting needs.
- Capable of communicating information to new and existing employees regarding the pension program.
- Able to accurately balance and reconcile for Pension Payroll, and Taxes
- Ability to create payroll schedules within the payroll system.
- Ability to accurately balance payroll expense accounts.
- Able to correctly interpret the collective agreement as it relates to payroll reconciliation and anomalies.
- Ability to resolve health benefit issues with the benefits carrier and employees.
- Ability to maintain a vast array of personnel and confidential data which is readily retrievable.
- Ability to self maintain and check accuracy of tasks.
