We are seeking a detail-oriented and highly organized Junior Payroll Clerk to join our team in the construction industry. This role is ideal for someone who is looking to gain hands-on experience in payroll processing while providing critical support to streamline the department’s operations. In addition to performing typical payroll duties, the Junior Payroll Clerk will assist with managing time-consuming tasks that support our payroll team in ensuring accuracy and compliance with company policies. This position is pivotal in helping ensure that our payroll functions run smoothly and efficiently.
Key Responsibilities:
Payroll Processing Support:
- Assist with the preparation and processing of weekly/bi-weekly payroll for construction staff.
- Review and verify timesheets, ensuring all data is entered accurately and on time.
- Make adjustments to time entries as needed, following company policies and payroll procedures.
Field Notes & Timekeeping Accuracy:
- Check daily notes submitted by roofers, especially foremen, to confirm job activities and task completion.
- Verify and cross-check employee timesheets against clock-in/out data at Nedlaw and adjust accordingly.
- Ensure GPS-based clock-in/out times match company policies, making adjustments for employees driving personal vehicles and paying them appropriately based on company guidelines.
Compliance with Job Site & Dispatch Records:
- Ensure all employees are accounted for at the job site based on the dispatch list.
- Confirm attendance and make necessary adjustments when discrepancies arise.
Work Order Adjustments:
- Adjust clock-in/out times on work orders to align with the nearest quarter-hour rule.
- Verify that all roofers working on the same job site clock in/out at the same time for multiple jobs, adjusting as necessary.
- Ensure consistency across work orders and timesheets, particularly when roofers work through lunch, adjusting for unrecorded lunch breaks as required.
General Payroll Support:
- Assist with payroll record-keeping, filing, and organizing supporting documents.
- Collaborate with the senior payroll person to resolve any payroll discrepancies.
- Support compliance with federal, provincial local payroll regulations.
Qualifications:
- High school diploma or equivalent required; an associate degree in accounting, business, or a related field is a plus.
- Previous experience in payroll or timekeeping is preferred but not required.
- Familiarity with construction industry practices is an advantage.
- Proficiency in payroll software and Microsoft Office Suite (especially Excel).
- Strong attention to detail and organizational skills.
- Ability to work independently and meet deadlines.
- Good communication skills and the ability to work collaboratively with field staff.
