Overview
We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supervising clerical staff, and providing exceptional front desk support. This position requires strong communication skills, proficiency in office software, and a commitment to maintaining an efficient work environment.
Duties
- Manage daily office operations and ensure a welcoming environment at the front desk.
- Provide administrative support including scheduling appointments, answering phone calls, and responding to emails with professionalism and courtesy.
- Supervise clerical staff and coordinate their activities to ensure optimal productivity.
- Maintain organized filing systems, both electronic and paper-based, for easy retrieval of documents.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and tracking expenses.
- Communicate effectively with team members and clients to facilitate smooth operations.
- Handle incoming and outgoing correspondence efficiently.
- Support management in various administrative projects as needed.
Experience
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent phone etiquette and interpersonal communication skills.
- Proficiency in office software applications (e.g., Microsoft Office Suite) and MUST have experience with QuickBooks.
- Experience supervising or coordinating the activities of others is desirable.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Work experience in a construction industy is an asset.
