Job Summary:
We are in search of a highly organized and detail-oriented Office Administrator to provide essential support to our team. They will need to be available Monday to Friday 9am to 5pm. The ideal candidate will be a proactive problem solver, possess excellent communication skills, and have a strong ability to manage multiple tasks efficiently.
Responsibilities:
- Conduct general administrative tasks, including answering phone calls, managing emails, and scheduling appointments.
- Extend a professional and welcoming reception to visitors.
- Prepare and organize documents, reports, and presentations.
- Maintain and update our office records, client databases, and filing systems.
- Assist in coordinating projects and collaborate with photographers and editors to support various real estate projects and marketing campaigns.
- Manage photo and video equipment inventory and office supplies inventory and place orders as needed
- Manage basic financial tasks, such as tracking expenses and processing invoices.
- Undertake any other duties as assigned to meet the evolving needs of the organization.
Requirements:
- Previous experience working in a real estate office is preferred
- Proficiency in using Google Suite (Gmail, Docs, Sheets, Slides) and other office software
- Proficiency in Monday.com and Slack
- Proficiency in Intuit Quickbooks
- Proficiency in both Mac OS and Windows software and hardware
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong attention to detail and accuracy in data entry and record keeping
- Excellent communication skills, both verbal and written
- Strong sales techniques
- Ability to maintain confidentiality of sensitive information
- Strong customer service skills with a friendly and professional demeanour
