The basic function of the Accountant - The Accountant - A/P and Payroll will assist with accurate and complete maintenance of all accounting records, general accounting, transactional accounting (payables), payroll, and government return preparations.
To perform the Accounts Payable function including enforcement of company policies and vendor relationship management.
To perform the basic functions of the Payroll department ensuring the integrity and accuracy of employee files and submissions.
To provide accounting support to the Controller and other members of the finance department.
Accounts Payable
Input approved invoices and match to existing purchase orders.
Schedule payments and coordinate progress draws for subcontractors.
Review invoices for completeness of information and consistency with purchase orders and Procore.
Reconcile vendor statement of accounts and draft responses.
Audit vendor accounts including all purchase orders and compliance with insurance, H&S, etc.
Create standards for invoice submissions. Document and communicate our invoice handling process to employees and vendors.
Support project teams by providing information regarding the financial status of outstanding vendor payables.
Review internal policies and ensure proper compliance of company payment terms.
Create reports to summarize the status of accounts and identify at-risk items.
Ensure proper escalation of outstanding accounts when invoice approvals are delayed.
Respond to inquiries and support relationships with suppliers and subcontractors.
Prepare bi-weekly vendor payments that reflect project funding and urgent requirements.
Create forms for requesting information from AP, such as a statement review.
Ensure closeout documents have been received prior to issuing final project holdbacks.
Payroll
To maintain employee information and prepare payroll files for bi-weekly funding.
Administer the Employee Group Benefit Plan, Group Savings Plans and other employee benefits, vacation administration, etc.
Administer the adjustments to employee pay (reimbursements, allowances, etc.)
Record approved vacation and absences to be reflected in payroll submissions.
Maintain confidentiality of all payroll information, including salaries and personal details.
Summarize payroll information and report monthly to senior management.
File and pay Paysource, WSIB and EHT as required.
Prepare annual T4s and T4 summaries.
Manage the employee expense reimbursements and other deductions/additions from pay, including CRA garnishments and other requirements.
Corporate Accounting
Keep confidential all payroll, vendor and business information.
Comply with government reporting requirements for payroll remittances, corporate tax instalments, HST filing, WSIB and EHT and process claims.
Perform banking functions including bank reconciliations and scheduling payments.
Process online banking transactions for tax and bill payments.
Review banking fees and service charges.
Assist with the month-end and year-end accounting processing and reconciliations.
Record transactions such as employee expense reimbursements.
Share bookkeeping duties with all employees in the finance department.
Keep confidential all customer and business information and all accessible records.
