Summary of Position Cadre’s Transit division offers our clients technical rail service solutions including commissioning and testing of new transit vehicles, warranty repairs, preventative maintenance, and inspection services. Our contractors work with the leading Ontario transit suppliers and agencies, ensuring their equipment is available to provide reliable on time service to their passengers in some of North America’s largest transit systems.
Reporting to the Senior Manager, this position is responsible for coordinating activities to ensure the manager is aware of meetings and important dates, staying on top of tasks, and effectively communicating challenges and important items. The Administrative Assistant should be able to plan and schedule complex projects, execute timelines efficiently, and support the overall administrative functions of the team.
Additional responsibilities include but are not limited to:
- Provide comprehensive administrative support, including managing the manager’s calendar, scheduling meetings, and ensuring all important dates and deadlines are met.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create, edit, and format documents, spreadsheets, presentations, and reports efficiently.
- Act as the main liaison between the manager and both internal and external stakeholders, ensuring clear and effective communication on all matters.
- Coordinate and facilitate team communications, organizing meetings, conferences, and events to ensure smooth and efficient operations.
- React quickly to changing situations and adjust plans as needed.
- Plan and manage complex projects, adhering to timelines, tracking progress, and making necessary adjustments to meet objectives.
- Monitor and follow up on tasks and projects, preparing and submitting regular status reports to ensure timely completion.
- Maintain and organize electronic and physical files, ensuring documents are up-to-date, easily accessible, and properly archived.
- Assist with general office operations, including managing supplies, maintaining equipment, and supporting other administrative tasks as needed
Requirements
- College diploma or equivalent; Associate's or Bachelor’s degree preferred.
- Three to Five years proven experience as an Administrative Assistant or similar role.
- Proficiency in Microsoft Office Suite and other office-related software.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to prioritize tasks and work under pressure.
- Strong follow-up and reporting abilities.
- Ability to plan, schedule, and execute complex projects.
- High level of adaptability and problem-solving skills.
