Who we need:
The Senior Administrative Assistant, Provost, Regulatory & Governance will support the Regulatory and Governance function and the Provost office through administrative and clerical support. Reporting to the Provost and Executive Vice President, and the Senior Vice President, Governance, Regulatory and Government Affairs, the role requires a proactive approach towards administrative tasks and problem solving.
This position requires the ability to proactively identify areas of in need administrative improvement, think critically, work independently and offer solutions to problems with a high level of professionalism and confidentiality. This is a hybrid role requiring 3 days on site (Monday + 2 days) at the corporate headquarters, located at 85 Richmond St. W.

What you will do:
- Work closely with the both the Senior Vice President, Governance, Regulatory & Government Affairs and the Provost and Executive Vice President, to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate needs in advance of meetings, conferences, etc. and provide a proactive approach towards support duties / initiatives.
- Undertake a broad range of administrative tasks: design and produce complex documents, reports, and powerpoint presentations; proofread and edit documents; collect and prepare information for meetings; compose and prepare correspondence maintain orderly files/archives of all essential documents.
- Effectively manage schedule and calendar details, prioritize open action items and pro-actively resolve scheduling conflicts. This includes organizing and coordinating meetings - including virtual and phone meetings, managing and tracking invitations, coordinating agendas, and facilitating communication.
- Act as Record Keeper for committees and meetings, ensuring to procure accurate meeting records and file them accordingly.
- Manage incoming correspondence by redirecting and responding as required.
- Arrange travel plans, itineraries, and agendas as needed.
- Reconcile expenses and prepare expense/travel reports for approval.
- Maintain a high level of professionalism and confidentiality in all activities.
What you bring:
- Undergraduate degree required.
- Prior experience in the higher education sector preferred.
- 3-5 years of experience in an Executive Assistant or similar role in the post-secondary education sector strongly preferred, adjacent experience in regulatory bodies or non-profits might also be acceptable.
- Excellent time management skills and ability to prioritize tasks and projects with a sense of urgency and sound judgement.
- Ability to think critically and solve problems effectively.
- Expert knowledge of Microsoft Office Suite (power point, word, outlook, excel, SharePoint etc.).
- Strong organizational skills and meticulous attention to detail.
- Exceptional communication skills, both verbal and written.
- High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, faculty and external partners.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Strong interpersonal skills and the ability to build relationships with all stakeholders.
