Balanced Perspectives is assisting a wonderful family-run company that is seeking an organized and proactive Office Administrator to join their team. Located on Highway 672 just outside Sexsmith, this construction industry company must fill a vacant spot.
While the official title is Office Administrator, they will call you by your first name and will be happy to see your smiling face every morning or hear the laughter in your voice when you pick up the phone. They need someone who can run things when the Owners are out of the office at work sites or in client meetings but not overstep. You will oversee daily office operations, manage administrative tasks, ensure the office runs smoothly and politely tell them what to do and when. And if polite doesn't work, use a bit more tough love. This team is used to having a strong person in this role who is able and willing to take on extra tasks when necessary to help and has enough common sense to know when to create a make-work project for yourself when it’s a quiet day.
Responsibilities (not in order of importance)
-Assist with Health and Safety Program-tracking training and completion
- Handle incoming calls and emails, taking great messages full of details to help with return calls, politely handle all inquiries
- Maintain filing systems, both electronic and physical, they have lots of paper blueprints that need to be maintained and accessible
- Coordinate and schedule meetings, internal and external, with clients and staff
-Help keep track of projects and the location of employees (they have a lot of projects that take place outside the area)
- Manage office supplies inventory and place orders when necessary
-Help prepare invoices, receipts, etc. to assist Bookkeeper
- Oversee vendor relationships and manage office contracts
Qualifications
Proven experience in an administrative role
Proficiency in phone systems and office software (e.g., Microsoft Office Suite)
Strong organizational skills with attention to detail
Excellent phone etiquette and communication skills
Knowledge of clerical procedures and file management
