The Administrative Assistant is integral to the success of the Finance team, and to CAAT’s guiding mission and growth strategy.
Reporting to the Chief Financial Officer the Administrative Assistant will provide direct administrative support to the Chief Financial Officer and to the broader Finance department. The successful candidate will play a key role in ensuring the Finance department runs smoothly.
We are looking for someone with:
- 3-5 years of proven experience providing administrative support
- Post secondary education in Business Administration or equivalent combination of education and work experience
- Proficiency in MS Office (MS Excel, Word, and MS PowerPoint, in particular)
- Proven ability to work independently on multiple tasks while demonstrating initiative
- Ability to identify and prioritize items requiring immediate action, along with any pertinent information to facilitate decision making
- Experience in the finance industry or supporting finance functions is an asset
- Familiarity with SharePoint is an asset
The successful candidate will demonstrate:

- Strong written and verbal communication abilities
- Familiarity with investment management practices and terminology
- A strong interest in technology; proactive in finding solutions to improve efficiency and productivity

Once here you will:
- Assist executive assistant with calendar management, inbox organization, travel arrangements, event coordination, expense reports, meeting minutes, and provide other general support as needed.
- Manage calendars, coordinate meetings, and schedule events for Finance Team members.
- Monitor Finance Team email inbox, redirecting emails to appropriate staff, and departments as needed.
- Respond to routine inquiries and requests in a timely and professional manner.
- Maintain efficient electronic and physical filing systems.
- Download and organize information from investment manager portals, ensuring completeness and accuracy.
- Maintain records of all documentation received from investment managers and coordinate documents with external service providers.
- Assist in preparing and editing correspondence, reports, and presentations.
- Prepare audit letters and other mass emails to external stakeholders.
- Assist with special projects and perform additional duties as assigned to support the overall functioning of the Finance Team.
