POSITION SUMMARY
Reporting to the Finance & Accounting Supervisor, the Finance & Accounting Associate provides accounting, administrative, and clerical support to facilitate the efficient and smooth day-to-day operations of the Performing Arts Centre (PAC). As a collaborative, contributing and solutions-oriented team member, the Finance & Accounting Associate supports the Finance & Accounting Supervisor and other team members in ensuring accuracy of financial and administrative records while maintaining adherence to all administrative procedures and processes. As an integral part of the PAC’s Administrative team the job incumbent must provide excellent customer service to both internal and external stakeholders.
To be successful in this position the Finance & Accounting Associate must be detail-oriented and customer-focused.
Duties & Responsibilities:
Accounting
- Calculate and process invoices, reports, account statements, purchase orders, etc.
- Interpret fully executed contracts, extracting relevant information including payment details, timelines and event details.
- Complete event settlements in a timely manner by liaising with marketing and operations departments to ensure accuracy and attention to detail.
- Respond to rental client inquiries immediately, efficiently resolving discrepancies while remaining committed to providing outstanding customer service.
- Enter and verify accounting transactions including Accounts Payable and Receivable.
- Prepare cheques and deposits.
- Prepare and review ledger entries and reconciliation, ensuring compliance with internal policies and procedures as well as regulatory requirements.
- Assist Finance & Accounting Supervisor in budgeting and reforecasting processes.
- Prepare reports and other financial summaries.
- Review contracted monthly payment schedules and process recurring payments.
- Identify, investigate, and offer solutions to Finance & Accounting Supervisor to resolve accounting discrepancies.
- Prepare and file remittances as they pertain to events, such as T4ANR’s and ENTANDEM.
- Liaise with facility vendors and other departments to extract necessary accounting information, following administrative procedures.
- Receive, track, and reconcile cash deposits and balance the daily reconciliation.
- Prepare bank reconciliations.
- Process donation reconciliations.
- Maintain confidentiality and professionalism when handling sensitive information.
- Maintain orderly financial filing systems.
- Other similar and related duties as required.
Administration and Clerical
- Perform administrative and clerical duties to support the day-to-day operational needs of the organization.
- Maintain an organized physical and electronic filing system, ensuring confidentiality.
- Disseminate information to internal and external stakeholders.
- Other similar and related duties as required.
Qualifications
- Completion of post-secondary degree or diploma in Finance, Accounting or Business Administration (or equivalent experience).
- Minimum two (2) years experience in bookkeeping/accounting, general clerical, cash handling and customer service required.
Required Knowledge, Skills & Abilities:
- Demonstrated knowledge of accounting and bookkeeping principles and practices.
- Ability to plan, organize and prioritize multiple tasks and meeting deadlines in a busy, fast paced environment.
- Proficient in Microsoft Office Suite, with advanced knowledge in Excel.
- Experience in business accounting software, such as Momentus, considered an asset.
- Skilled at comparing, interpreting, and organizing a wide variety of data and information in a systematic manner.
- Skilled communicator with demonstrated interpersonal skills, professional demeanor, and proven commitment to exceptional customer service.
- Willingness to adapt and adjust behaviours to work successfully in light of new information and/or changing direction.
- Ability to work efficiently in a team setting and liaison with internal and external stakeholders.
- Demonstrated commitment to promoting an inclusive, healthy, and safe workplace culture.
