About the Role:
Responsible for the preparation and processing of various City payrolls including the associated validation, reporting, remittances/vouchers and general accounting related to payroll. This position also responds to payroll related inquiries from employees or City departments.
What You Will be Doing:
(These set out the principal functions of the position and shall not be considered as a detailed description of all the work requirements).
- Prepare and process weekly, biweekly and monthly payrolls including both salary and hourly remuneration.
- Review reports within payroll software to validate both information inputted by staff for processing and processed payrolls.
- Review reports to obtain various year to date totals for employees such as hours worked, accruals (vacation, floaters, management leave etc), as well as applicable earnings and employee/employer deductions.
- Validate that all processed payroll amounts are being posted to correct general ledger (GL) accounts and balance year to date amounts.
- Create and distribute paystubs to employees for processed payroll (email and printed copies).
- Enter and update banking information for all employees.
- Once payroll has been processed validate direct deposit file and submit to bank.
- Assist internal customers including employees with payroll related questions regarding payroll practices, legislation and deductions such as union dues.
- Updating employee master file in payroll system based on paperwork received and review master file following changes to ensure accuracy.
- Generating and submitting Record of Employments (ROE’s) as necessary.
- Ensuring deductions taken from pay are properly calculated and remitted on time.
- Prepare other monthly reports as necessary.
- Assist the Payroll Administrator and Payroll Team Leader and act as a backup in the absence of either role.
- Assist with filing, typing, mailing, duties.
- Assist with T4 and retroactive pay calculations as needed.
- Perform other similar and related duties as required.
About You:
Qualifications:
- Grade 12 Diploma plus payroll and/or accounting courses.
- Minimum one (1) year of payroll experience.
- Payroll Compliance Professional (PCP) certification is an asset.
- Pursuing a Payroll Compliance Professional (PCP) certification is preferred.
Skills:
- Strong ability in basic arithmetic skills.
- Proficient MS Excel skills.
- Proficiency in typing.
- Proven ability to work with mathematical calculations.
- Proven ability to meet strict deadlines.
- Proven ability to work in a team environment.
- A sound knowledge of the payroll function.
- The ability to communicate effectively with peers and public.
- Proficient skill level with Microsoft Office applications, particularly Word and Excel
Other Requirements:
- Proven completion of Ministry of Labour Worker Health and Safety Awareness training
- Ability to travel between City work locations is required.
- Proof of education will be required upon hire.
