JOB DESCRIPTION
JOB TITLE: Accounts Payable Administrator, Proximo Spirits Canada {Contract}
SUMMARY: The Accounts Payable Administrator, based out of the Proximo Canada head office in Toronto, is responsible for overseeing the accounts payable process, assisting with month end closing procedures, as well as providing administrative support to the General Manager and Finance Director. This position requires the ability to manage tasks independently, attention to detail and the ability to multitask and adapt in a fast-paced environment. The position reports to the Finance Director.
JOB RESPONSIBILITIES:
Accounts Payable
- Ensure all invoices are processed and approved with internal business partners in a timely manner, and in accordance with signing authority policy
- Provide supporting documentation to the US AP team to post and pay invoices
- Prepare month end entries for AP related accruals
- Maintain historical records of invoices and AP related backup on the company shared drives, including reconciling monthly transactions / statements, as required
- Support staff accountant in the monthly employee expense report management process
- Work with vendors to resolve invoicing and payment issues
- Provide updates to internal team and vendors on status of payments
- Work with the business to gather information needed to set up vendors (Ariba)
- Other related duties, as assigned
Administrative Support
- Provide support with office related administrative tasks
- Work with mobile providers on account changes (e.g. billing plans, adding/removing users, porting phone numbers)
- Coordinate with Marketing & Sales to respond to consumer complaints
- Coordinate with Human Resources, IT and the local manager on personnel changes
- Prepare monthly submissions for LCBO TSR rebate program
- Other related duties, as assigned
JOB REQUIREMENTS:
- 5 years of experience in an AP role
- Accounting degree
- Experience with SAP is a bonus
- Highly organized with strong attention to detail and problem-solving skills
- Ability to manage tasks independently
- Ability to multitask and adapt in a fast environment
- Excellent internal customer service skills
- Maintain confidential and sensitive information
- Positive attitude and a willingness to learn new skills
