Job Summary: As a Payroll Specialist for our client, you will be responsible for managing and executing payroll processes, ensuring accuracy, compliance, and timely delivery. This role requires a deep understanding of payroll systems, attention to detail, and the ability to collaborate with internal teams and external clients.
Roles and Responsibilities:
- Payroll Processing: Efficiently manage and process bi-weekly payroll for approximately 10,000 employees, including retiree payroll, ensuring payments are timely, accurate, and complete.
- Garnishments and Deductions: Administer and process payroll garnishments and benefit deductions accurately.
- Compliance: Maintain compliance with federal and provincial wage laws, tax regulations, and internal policies. Ensure that payroll processes align with industry best practices.
- Data Management: Maintain and update payroll records for all employees, including new hires, terminations, deductions, benefits, and tax withholdings.
- Benefits Administration: Administer and process employee benefits, including health insurance, retirement plans, and other compensatory perks.
- Reporting: Prepare and distribute detailed payroll reports, including earnings, deductions, taxes, and other relevant financial data.
- Issue Resolution: Address and resolve payroll discrepancies, and respond to inquiries regarding payroll-related issues.
- Tax Filing: Prepare and submit accurate tax filings and reports to the CRA and other relevant authorities.
- Year-End Processes: Manage year-end payroll activities, including the preparation and distribution of tax forms such as T4A, RL1, RL2 and NR4.
- Client Collaboration: Serve as a key point of contact, providing expert advice on payroll and benefits matters. Work closely with HR and finance teams to ensure seamless payroll operations.
- System Optimization: Participate in the implementation and continuous improvement of payroll systems and processes.
- Vendor Management: Liaise with external vendors related to payroll and benefits administration, ensuring service quality and cost-effectiveness.
- Documentation: Maintain accurate documentation of payroll procedures, and ensure that all payroll activities are well-documented and auditable.
- Other Duties: Perform additional payroll-related duties as required.
Qualifications:
- Education: Diploma or degree in Accounting, Finance, or a related field.
- Experience: 3-5 years of experience in payroll processing, preferably within a corporate or consulting environment.
- Certifications: Certified Payroll Professional (CPP) or equivalent certification is preferred.
- Technical Skills: Proficiency in payroll software, with specific expertise in Workday, as well as Microsoft Excel and other relevant tools. Experience with HRIS systems is an asset.
- Knowledge: Strong knowledge of Canadian payroll laws, tax regulations, and benefits administration.
- Communication: Excellent verbal and written communication skills, with the ability to explain complex payroll concepts clearly.
- Attention to Detail: High level of accuracy and attention to detail in all aspects of payroll processing.
- Problem-Solving: Strong analytical and problem-solving skills, with the ability to resolve issues independently and efficiently.
- Team Player: Ability to work collaboratively within a team and contribute to a positive work environment.
