Responsibilities:
· Perform reception duties for all visitors to the building in a professional and positive manner.
· Answer the reception phone line and direct calls to appropriate individuals and/or provide information to members of the public.
· Schedule meetings for the organization and monitor organizational calendars to ensure accurate information is given to individuals such as who is working in the office, what rooms are available for use and what meetings are occurring each day.
· Coordinate meetings including preparing agendas or packages to be distributed, assisting in setting up the room and audio visual equipment, arranging food and beverages, and directing individuals to the meeting as they arrive.
· Support other employees in project based work by preparing correspondence, reports, and materials for publications and presentations.
· Maintain hard copy and electronic filing systems for the organization, including the master list of the policies and procedures.
· Perform general clerical duties such as photocopying, faxing, mailing and filing.
· Act as a backup in the biweekly processing of in-house payroll, including all data for new hires, promotions, retroactive calculations and terminations using customized payroll software.
· Assists with property management by managing work orders and preventative maintenance for BACLA properties and vehicles, as directed by the Director of Finance and Administration.
· Ensure accurate data is entered and maintained in the Human Resources Information System (Comvida).
Qualifications:
· Business Administration, Accounting, or Office Administration Diploma.
· Minimum of 3 years of experience working in an office environment, and efficient use of MS Office software and computer systems, specifically Microsoft Excel.
· Must have experience in payroll processing.
· Ability to communicate with a variety of individuals in a clear and professional manner.
Salary:
Based on experience and education. Generous leave provisions including paid sick time and vacation.
Hours of Work:
Monday to Friday, 37. 5 hours per week. 8:30 AM to 4:00 PM. Flexibility may be required.
